About the position

The Operations Coordinator for the Simulation Center at Rowan-Virtua School of Osteopathic Medicine is responsible for managing the day-to-day operations of the center. This role involves maintaining the program calendar, scheduling events, ensuring resource availability, and supporting educational programs. The coordinator will also handle budget tracking, purchasing, and onboarding of standardized patient employees, while collaborating closely with academic and administrative units.

Responsibilities

  • Manage day-to-day operations of the Simulation Center.
  • Maintain the calendar for simulation events, trainings, and testing.
  • Provide scheduling support for students with accommodations and remediation needs.
  • Ensure appropriate resources are available for programming needs, including staffing and technology.
  • Assist with tracking budget expenditures and manage purchasing and travel functions.
  • Onboard and maintain records for the standardized patient per diem employee pool.
  • Provide operational support for educational programs offered by the Simulation Center.
  • Develop and maintain the program calendar for academic years.
  • Manage space requests within the Simulation Center.
  • Identify faculty/staffing and equipment needs related to programs.
  • Support maintenance of a robust pool of per diem standardized patients.
  • Assist in hiring/onboarding processes per university protocol.
  • Keep time records and execute payment for hours worked.
  • Manage database of active standardized patients and evaluate per diem employees.
  • Assist with administrative needs of courses delivered by Simulation Center faculty.
  • Maintain student rosters and schedules, and schedule faculty.
  • Release assignments and grades for students.
  • Support students requiring clinical skills coaching and remediation.
  • Track student interventions and outcomes.
  • Manage expenses within the Simulation Center and oversee purchases.
  • Maintain inventory of assets and monitor budget for future needs.
  • Manage contracts, maintenance agreements, and equipment warranties.
  • Maintain records of students requiring testing accommodations.
  • Assist with data collection and analysis for center initiatives.
  • Attend departmental and committee meetings as requested.
  • Participate in continuing education programs for professional development.

Requirements

  • Bachelor's degree required.
  • Two years of experience in a managerial role required.
  • Two years of experience in a standardized patient facility/simulation center in a higher education setting preferred.
  • Demonstrated ability to oversee projects and meet organizational goals.
  • Proficiency in Microsoft Word, Outlook, Excel, and PowerPoint.
  • High-level verbal communication skills.
  • Ability to prioritize, multitask, and meet deadlines.
  • Ability to direct activities and speak confidently in front of groups.
  • Ability to work a flexible schedule, including evenings or weekends.
