At Brookfield Properties, our success starts with our people. We are seeking an Operations Coordinator to join the SPACE+ team as part of Brookfield Properties U.S. Office Division in Washington, DC. This role is pivotal in supporting the increasing demand for turnkey solutions, which include services provided by SPACE+ for technology, furniture, and workplace. The Operations Coordinator will play a crucial role in bringing these services to life by supporting cross-functional efforts for SPACE+, asset management, and leasing across the Washington, DC portfolio. The Operations Coordinator will interact with tenants to understand and deliver their requirements, developing strong relationships with stakeholders including property operations and key tenant representatives. This position involves managing day-to-day tenant requests, including ordering supplies and responding to questions about services used in their space. The Coordinator will also be responsible for third-party vendor management, ensuring the delivery of contracted services, invoicing, billing, and COI insurance requirements. In addition, the Coordinator will serve as a liaison between tenants and building operations, managing issues or escalations as required. The role requires the ability to handle multiple locations and projects within the project schedule, as well as proactive oversight of workplace operations to ensure they meet SPACE+ standards. Conducting quality control walkthroughs to address immediate issues and identify areas for improvement is also a key responsibility. The Coordinator will create FF&E proposals, provide coordination assistance through planning, presentation, and delivery, and obtain quotes from third-party vendors based on tenant needs. The position also involves coordination and assistance of tenant move-in/move-out processes, responding to and closing out all tickets submitted via the internal tracking platform in a timely manner, and troubleshooting SPACE+ technologies for conference rooms and other toolsets. The Coordinator will work with vendors and internal project teams to assist in new projects and ensure that Standard Operating Procedures set forth by the SPACE+ team are consistent, up to date, and being followed. This role is essential in facilitating various requests involving marketing, project status updates, operations, and accounting that align with SPACE+ product standards.

Responsibilities

  • Interact with tenants to understand and deliver tenant requirements
  • Develop strong relationships with stakeholders including property operations to key tenant representatives
  • Manage day-to-day tenant requests including ordering supplies and responding to questions about services used in their space
  • Third-party vendor management ensuring delivery of contracted services, invoicing, billing, COI insurance requirements, etc.
  • Serve as liaison between tenants and building operations as required, managing issues or escalations
  • Ability to handle multiple locations and projects within project schedule
  • Proactive oversight of workplace operations of the floor(s)/amenities to ensure they remain up to SPACE+ standards
  • Conduct quality control walkthroughs to address immediate issues, pre-empt potential future issues and identify areas for improvement when required
  • Create FF&E proposals, and provide coordination assistance through planning, presentation and delivery including punch list/issue resolution
  • Obtain quotes from third-party vendors based on tenant needs
  • Coordination and assistance of tenant move-in/move-out
  • Respond and close out all tickets submitted via internal tracking platform in a timely manner
  • Proficient in troubleshooting all SPACE+ technologies for conference rooms and other toolsets
  • Work with vendors and internal project teams to assist in new projects/locations as needed

  • Assist in day-to-day task execution, facilitating various requests involving marketing, project status updates, operations, and accounting which align to SPACE+ product standards

Requirements

  • Bachelor's degree required
  • Minimum 2 years' relative experience, workplace management experience is a plus
  • Ability to present solutions in a clear and comprehensive manner
  • Able to work independently and responsibly
  • Able to multitask and handle pressure in a fast-paced environment
  • Previous vendor management experience
  • Strong focus on customer service-based hospitality
