About the position

The Operations Coordinator for Special Events & Protocol at Howard University plays a crucial role in supporting the Development and Alumni Relations (DAR) team. This position is integral to the planning and execution of various on-campus and off-campus events, ensuring that all activities align with the university's mission and strategic goals. The Operations Coordinator will provide administrative assistance, be present on the day of events as required, and act as a liaison between DAR and other campus partners. This role is designed for individuals who are committed to customer service and have a passion for event management. In this position, the Operations Coordinator will support the implementation and oversight of major event planning, which includes regional alumni engagement events, donor events, and collaborations with both internal and external partners. Reporting directly to the Executive Director of Events Management, the Coordinator will utilize sound event planning principles and standardized procedures to ensure the successful execution of events. Teamwork and collaboration are essential, as the Coordinator will work closely with various stakeholders, including development staff, alumni relations, campus partners, and external vendors. The Operations Coordinator will manage a busy and complex department, overseeing multiple projects and high-profile events. Responsibilities include coordinating priorities and assignments with the AVP of Special Events and Protocol, establishing clear objectives, and adhering to a demanding calendar with tight deadlines. The Coordinator will also create monthly performance reports and other tracking documents, while maintaining and updating records and guest lists in collaboration with the Development Operations team and individual gift officers. This role serves as a trusted resource for colleagues and may involve liaising with contractors, organizers, university staff, and event participants.

Responsibilities

  • Participate in the planning and execution of on-campus and off-campus events.
  • Provide administrative assistance and day-of presence for events as required.
  • Act as a liaison with Development and Alumni Relations and other campus partners.
  • Support the implementation and oversight of major event planning.
  • Coordinate priorities and assignments with the AVP, Special Events and Protocol and the Executive Director, Events Management.
  • Create monthly performance reports and other event tracking reports as needed.
  • Maintain, update, and correct records and guest lists in collaboration with the Development Operations team and individual gift officers.
  • Serve as a trusted resource to colleagues managing diverse responsibilities.
  • Assist with ensuring protocols are followed during events.
  • Navigate internal processes to problem-solve and contribute to a culture of collaboration.

Requirements

  • Associate's or Bachelor's degree in a related field or three (3) years of experience in an administrative position.
  • Proficiency in Microsoft Word, Excel, and PowerPoint.
  • Database management experience; familiarity with technology specific to event planning preferred.
  • Excellent communication and interpersonal skills.
  • Demonstrated success managing and planning for multiple work streams.
  • Exceptional organizational skills and attention to detail.
  • Ability to provide administrative support and manage up effectively.
  • Ability to work collaboratively and independently in a fast-paced environment.
