About the position

The Operations Coordinator for the North Carolina Community College System plays a crucial role in supporting the State Board of Community Colleges by coordinating meetings, managing office operations, and assisting the Executive Director. This position ensures efficient communication and organization within the board, facilitating the logistics of meetings and events while maintaining compliance with public meeting laws. The role also involves managing technology systems and providing administrative support to enhance the effectiveness of the State Board Office.

Responsibilities

  • Coordinate monthly meetings and committees of the NC State Board of Community Colleges (SBCC).
  • Manage meeting logistics including meals, catering, contracts, and travel arrangements.
  • Prepare and distribute meeting agendas, materials, and minutes to board members and staff.
  • Post relevant meeting materials on the System Office website for public access.
  • Ensure compliance with public meeting laws and provide virtual access to meetings.
  • Manage day-to-day operations and technology systems of the State Board Office.
  • Utilize technology tools for document management, data tracking, and reporting.
  • Coordinate events hosted by the State Board or involving its members.
  • Assist the Executive Director in achieving the goals of the State Board Office.

Requirements

  • Bachelor's degree in business administration or a related discipline and two years of administrative/office management experience; or an Associate's degree and four years of experience; or a high school diploma and six years of experience; or an equivalent combination of education and experience.
  • Demonstrated experience coordinating executive level meetings and logistics.
  • Experience organizing and maintaining electronic and hard copy files.
  • Experience creating meeting agendas and taking accurate meeting minutes.
  • Knowledge in managing financial data and reports, creating spreadsheets, and maintaining budgets.
  • Proficiency in technology skills and virtual communication tools.
