The Operations Coordinator for the Pathology Department at University Health (UH) plays a crucial role in ensuring the smooth administrative operations of the department. The Operations Coordinator will perform a variety of office administrative tasks, providing high-level support to the System Director of Laboratory Operations. This includes maintaining accurate records of departmental revenues, expenses, and billing reconciliation, which are essential for the financial health of the department. In addition to financial oversight, the Operations Coordinator will work closely with the Anatomical Pathology team to support sendout cases, ensuring that all processes are efficient and effective. The role requires collaboration with other department staff to achieve operational objectives, which is vital in a fast-paced healthcare environment. The Operations Coordinator must possess excellent communication skills, both verbal and written, to interact professionally with staff and patients, especially in stressful situations. The ability to problem-solve and handle sensitive information with confidentiality is paramount. The position demands strong organizational skills and attention to detail, as the Operations Coordinator will be responsible for prioritizing and managing multiple tasks simultaneously. Proficiency in computer software, particularly MS Word, Excel, and Outlook, is necessary to perform daily tasks effectively. Responsibilities

  • Coordinate all activities related to the administrative operations of the Pathology Department.
  • Perform a variety of office administrative tasks with high responsibility of support to the System Director of Laboratory Operations.
  • Maintain proper records of departmental revenues, expenses, and billing reconciliation.
  • Work with Anatomical Pathology for support of sendout cases.
  • Ensure the Pathology office runs smoothly.
  • Collaborate with other department staff to achieve operational objectives.

Requirements

  • Associates degree or equivalent in combination of education and experience.
  • Five years in progressively responsible clerical/secretarial work.
  • Excellent communication (verbal and written) skills.
  • Professional demeanor and excellent customer relations skills in a stressful environment.
  • Ability to problem solve and handle patient and staff information with tact and confidentiality.
  • Excellent organizational skills, attention to detail, ability to prioritize and multi-task.
  • Computer knowledge in software programs with working knowledge of MS Word, Excel, Outlook emails and calendar functions.
  • A team-oriented individual with the ability to deal effectively with department staff in the resolution of problems and the completion of tasks.
  • Ability to process and integrate complex information and appropriately exercise independent judgment.
  • Ability to organize and deal with workload that involves tight deadlines, juggling multiple tasks and projects simultaneously as well as confidentially with minimal or no supervision.
  • Ability to organize large amounts of varied material, perform simple bookkeeping tasks, and transcribe dictated materials.
  • Ability to work independently on projects.
