About the position

The Operations Coordinator at The Michaels Organization plays a crucial role in supporting the Community Director by performing a variety of administrative and customer service functions. This position is integral to maintaining the utility conservation program for residents, ensuring that all operations run smoothly and efficiently. The Operations Coordinator will be responsible for liaising with the MMS energy management vendor, managing the resident utility billing program, and analyzing utility data to prepare comprehensive monthly and quarterly reports. This role requires a keen eye for detail and the ability to analyze anomalies in utility consumption and billing, ensuring that residents receive accurate information and support regarding their utility services. In addition to managing billing and data analysis, the Operations Coordinator will verify resident credits and rebates before authorizing vendor reimbursements, create monthly billing for Military Partners, and coordinate quarterly maintenance programs for meters and other hardware with the energy management vendor. Providing exceptional customer service is a key aspect of this role, as the Operations Coordinator will address resident inquiries about the utility program and perform energy audits as needed. The position also involves educating residents about energy conservation through various communication channels, including monthly newsletters. The Operations Coordinator will track utility consumption and rate information, preparing this data for budget preparation and ensuring that all financial and resident matters are handled with the utmost confidentiality. Responsibilities

  • Serve as the liaison with MMS energy management vendor.
  • Manage resident utility billing program, including analysis of anomalies in utility consumption/billing.
  • Analyze utility data and prepare monthly and quarterly reports.
  • Verify resident credits and rebates prior to authorizing vendor reimbursements.
  • Create monthly billing for the Military Partners.
  • Coordinate quarterly meter (and other hardware) maintenance program with energy management vendor.
  • Provide resident customer service specific to utilities: answering questions regarding the utility program, utility statements, etc., and perform resident energy audits as requested and/or required.
  • Educate residents about energy conservation via the monthly newsletter, etc.
  • Track monthly/annual utility consumption and rate information and be prepared to provide it for budget preparation.
  • Resident account reconciliations.

Requirements

  • 1+ years of increasing responsibility and administrative experience, preferably in property management.
  • High school diploma or GED equivalent.
  • Ability to perform several tasks concurrently with ease, accuracy and professionalism.
  • Ability to communicate clearly and concisely, verbally and in writing.
  • Ability to keep all financial and resident matters strictly confidential.
  • Excellent interpersonal and customer service skills.
  • Advanced skills in data entry, creating and maintaining excel spreadsheets and other basic software.
  • Strong attention to detail.
  • Strong writing, research, and organizational skills.
  • Ability to take direction and interact with all staff and management.
