About the position

The Operations Coordinator at Belmont Charter Network plays a crucial role in supporting the Operations Director with front office and school-wide operations. This position serves as the first point of contact for parents and visitors, ensuring a welcoming and organized environment. The coordinator is responsible for various administrative tasks, including managing attendance, inventory, student records, and assisting with school events, all while promoting a positive school culture.

Responsibilities

  • Welcome parents/visitors and assist with their needs, serving as the first line of contact for questions/concerns.
  • Execute visitor protocols with fidelity and act as the face of the school, diffusing difficult situations.
  • Answer phones, take/distribute messages in a timely manner, and direct phone calls to appropriate staff.
  • Manage student sales and cash collection processes in alignment with BCN Financial Policies.
  • Maintain the cleanliness and organization of the main office (outside of custodial duties).
  • Ensure all teachers submit attendance in accordance with school procedures and distribute daily bulletins.
  • Receive and code absence documentation and distribute truancy and attendance notifications to families.
  • Work with ATIP to confirm accuracy of records and truancy status.
  • Inventory and maintain supply rooms and cabinets, supporting the distribution of supplies and restocking office supplies.
  • Receive, sort, and distribute incoming mail/packages, prepare documents for school mailings, and prepare outgoing mailings.
  • Create and maintain up-to-date student physical files with all required paperwork, ensuring compliance for yearly audits.
  • Enter and update required student demographic information in Powerschool, the BCN student information system.
  • Assist with the coordination and execution of student enrollment processes, including reviewing and processing applications and verifying required documents.
  • Assist with school events, coordinate early dismissals for sick students, maintain maintenance/custodial requests, and provide student technology support as needed.

Requirements

  • High School Diploma or Equivalent
  • At least 3 years of work experience related to school operations
  • Experience using School Information Systems, preferably PowerSchool
  • Hold all required clearances to work in PA schools (Pennsylvania Child Abuse History Clearance, Federal Bureau of Investigation Record Check Clearance, Sexual Misconduct/Abuse Disclosure Clearance)
  • Proficient in Microsoft Word and Excel
  • Proficient in Google Suites
