About the position

The Operations Coordinator at Genius Academy plays a crucial role in supporting the Executive Vice President and ensuring the smooth operation of the studio. This position involves managing day-to-day activities, coordinating projects, and maintaining high standards of quality in media production. The ideal candidate will thrive in a fast-paced environment and contribute to the innovative mission of transforming mental health education through immersive experiences.

Responsibilities

  • Oversee day-to-day studio operations, ensuring smooth functioning of all activities, mail organization, and timely bill payments.
  • Coordinate contract workers & freelance crew to accomplish and produce client deliverables.
  • Run special projects through the designated approval process (Development-Delivery).
  • Conduct media and technology QA to maintain high standards of our digital platforms.
  • Create and maintain databases of client communications for efficient tracking and reference.
  • Communicate effectively with freelancers, bookkeepers, and other external parties to ensure timely completion of tasks.
  • Monitor and report on the progress of client deployments, ensuring timely completion and addressing any issues that arise.
  • Aid in basic financial tasks such as invoice processing, expense tracking, and budget monitoring.
  • Coordinate and execute special projects as assigned, ensuring they are completed on time and within scope.
  • Manage calendars, schedule meetings, and handle correspondence to maximize internal staff efficiency.
  • Coordinate team meetings with external and internal stakeholders.
  • Analyze and improve existing workflows to enhance overall operational efficiency.
  • Track and report on key performance indicators (KPIs) for various projects and operations to ensure goals are met.
  • Assist in maintaining accurate payroll records and time tracking for employees and contractors.

Requirements

  • Bachelor's degree
  • 2-4 years of experience in operations, project management, or a similar role
  • Excellent organizational and multitasking skills
  • Strong communication skills, both written and verbal
  • Proficiency in Microsoft Office Suite, CRM software, and project management tools (e.g., Asana)
  • Working knowledge of AI tools and other tech platforms
  • Ability to work independently and lead a team
  • Adaptability and willingness to learn new skills as needed

Nice-to-haves

  • Experience as a Unit Production Manager, Line Producer, or Production Coordinator
  • Experience in studio operations or media production is a plus
