About the position

EmpowerMe Wellness is a tech-enabled, multi-service healthcare organization dedicated to enhancing the lives of seniors through integrated on-site therapy, pharmacy services, and primary care. As the Operations Coordinator, you will play a crucial role in supporting the Area Director of Operations by providing administrative oversight in senior living communities. Your responsibilities will include optimizing therapists' schedules, assisting with the intake process for new residents, and ensuring comprehensive interactions with residents, families, and staff. The ideal candidate will be highly organized, detail-oriented, and capable of multitasking to enhance operational effectiveness and quality of care within the community. In this role, you will support the intake process by guiding clinic directions to ensure the completion of necessary documentation and obtaining consent from residents or their Power of Attorney. You will also be responsible for submitting orders to physicians, ensuring evaluations are completed, and assisting in obtaining required therapy documents. Additionally, you will review under hours reports and coordinate therapists' schedules to optimize efficiency, while also supporting new team members on their first day. Your responsibilities will extend to identifying therapy needs through various reports and maintaining a weekly on-site presence in communities to build relationships with team members, residents, and community partners. You will review operational reports, follow up on outstanding items, and serve as an interim clinic director when necessary. This position requires exceptional communication skills, a passion for working with older adults, and the ability to remain calm in stressful situations while managing multiple tasks effectively.

Responsibilities

  • Provide administrative oversight in senior living communities to assist servicing teams.
  • Optimize therapists' schedules and support intakes for new residents.
  • Guide the intake process by gathering necessary documentation and obtaining consent from residents or their Power of Attorney.
  • Submit orders to physicians and ensure completion of evaluations.
  • Assist in obtaining required therapy documents from physicians.
  • Review under hours reports and coordinate therapists' weekly schedules for efficiency.
  • Support new team members on their first day by helping with equipment setup and training.
  • Identify therapy needs and communicate them to the Clinic Director and/or ADO.
  • Maintain a weekly on-site presence to build relationships with team members, residents, and community partners.
  • Review operational reports and act on closing gaps in service delivery.
  • Follow up with therapists to ensure completion of required documentation and timely closeouts.

Requirements

  • Certification in healthcare, business administration, or a related field.
  • Two years of relevant experience in a senior living setting preferred.
  • Proven experience in administrative and operational roles, including managing schedules and maintaining records.
  • Experience in a customer-facing role with a focus on exceptional service to residents and families.
  • Solid understanding of wellness offerings and therapy for seniors, along with knowledge of laws regarding Assisted Living and Memory Care.
  • Exceptional communication and interpersonal skills, with a passion for working with older adults.
