The Operations Coordinator at South Shore Roofing is a vital role that supports the owner and office manager in maintaining efficient operations within the company. This position involves a mix of in-office and remote tasks, focusing on organization, communication, and project management to ensure smooth daily operations. Responsibilities

  • Maintain company equipment, apparel, and vehicles, including inventory and inspections.
  • Organize office supplies and manage sales folders and documents.
  • Manage phone systems and appointment calendars as needed.
  • Perform data entry and report submissions to the owner.
  • Organize tasks in a task management app with priorities and deadlines.
  • Research and find contractors and suppliers for products and materials.
  • Assist with customer service overflow demands.
  • Process applicants and conduct interviews.
  • Order products and manage home to-do tasks, including scheduling cleaners and lawn care.
  • Follow up on invoices due and manage customer invoicing and accounts receivables as needed.
  • Audit subcontractor invoices and production material inventory ordering.
  • Conduct QuickBooks data entry and expense auditing as needed.
  • Onboard and offboard employees, including paperwork and equipment issuing.
  • Issue warranties and hand-write thank you cards for customers.
  • Manage licenses and tag renewals for vehicles and business.
  • Handle job warranty and rebate data entry as needed, including building permits and HOA approvals.

Requirements

  • 2+ years of experience in operations, office, or project management.
  • Proficient in computer use with fast typing skills (75+ WPM).
  • High attention to detail with near-zero mistakes.
  • Excellent writing skills, grammar, and spelling.
  • Ability to solve problems with smart solutions and initiative.
  • Experience in a high-speed work culture with complex task juggling.
  • Strong interpersonal skills for handling challenging client conversations.
  • Excellent organizational and time management skills.
  • Ability to manage multiple priorities efficiently and autonomously.
  • Capacity to thrive in a fast-paced environment with changing job duties.
  • Emotional resilience and ability to handle stress.
