About the position

The Operations Coordinator for Aero Snow Removal plays a crucial role in ensuring the smooth operation of snow removal services, particularly during winter storms. This position involves a variety of responsibilities that support both the onboarding of new employees and the coordination of operations during snow events. The Operations Coordinator will assist in processing all new applicants and returning employees, ensuring that all necessary airfield access requirements are met for both seasonal and full-time hires. A key part of the role is to ensure that all qualified operators are accurately entered into the ADP and Everbridge group communication systems, facilitating effective communication and operational efficiency. In addition to onboarding and administrative tasks, the Operations Coordinator will need to become familiar with the capabilities of the snow removal machines, operator duties, and operational protocols. This knowledge is essential for assisting management during snow events, where timely and effective decision-making is critical. The Coordinator will also assist the General Manager in coordinating pre-season operator training, ensuring that all team members are well-prepared for the demands of the season. During snow events, the Operations Coordinator will work closely with the team to successfully close and certify each storm in a timely manner. This includes managing fuel dispatch to ensure proper check-in and check-out from fuel terminals, as well as managing Storm Forms to track hours worked for accurate payroll and record-keeping. The role requires close collaboration with the Operations teams to ensure compliance with departmental standards and protocols, as well as coordinating catering services during storms to support the team on the ground. Other duties may be assigned as needed, making this a dynamic and fast-paced position.

Responsibilities

  • Assist in the onboarding processing of all new applicants and returning employees.
  • Coordinate with seasonal and full-time hires for all airfield access requirements.
  • Ensure all qualified Operators are entered into ADP and Everbridge group communication system.
  • Become familiar with the machine capabilities, operator duties, operations protocols and procedures to assist management during a storm.
  • Assist General Manager in coordinating pre-season operator training.
  • Work with team to successfully close and certify each storm in a timely manner.
  • Assist with fuel dispatch to ensure check in/out from fuel terminals.
  • Manage Storm Forms to help track hours worked for accurate payroll & record-keeping.
  • Work closely with the Operations teams to ensure departmental compliance.
  • Coordinate catering during storms.
  • Perform other duties, as assigned.

Requirements

  • Must be available to work as snow is forecasted, including weekends, holidays, and overnight shifts.
  • 1 - 2 years of office administration experience.
  • Aviation experience preferred.
  • Payroll experience preferred.
  • Proficient with the Microsoft Office Suite—Outlook, Word, PowerPoint, Excel, and Teams.
  • Strong problem-solving and decision-making skills across all areas daily.
  • High level of accuracy is required, with attention to detail.
  • Ability to work independently and multi-task with accuracy in a fast-paced work environment.
