About the position

The Operations Coordinator plays a crucial role in ensuring the operational success of the Shaw Center for Public & Community Service at Syracuse University. This position is responsible for managing the center's administration, budget, payroll, and transportation, reporting directly to the Center's Director. The Operations Coordinator is tasked with analyzing and improving organizational processes to enhance quality, productivity, and efficiency within the center. This role requires collaboration with faculty, staff, and students to tackle larger projects, ensuring that all administrative tasks are completed effectively. In addition to administrative duties, the Operations Coordinator will develop, coordinate, and maintain various reports and materials, including seasonal projects, Impact Reports, and end-of-semester assessments. The position also involves managing technology usage, facilitating meetings, and maintaining the center's website with current information. The Operations Coordinator will work closely with partners in Parking & Transportation and Student Experience to coordinate the University-wide engagement transportation system, which includes planning, oversight, and troubleshooting. Furthermore, the Operations Coordinator will oversee payroll and hiring procedures, budget management, and financial control processes in compliance with university policies. This role requires the ability to connect and collaborate with campus and community partners to ensure institutional compliance and mitigate risks associated with community engagement work. The Operations Coordinator will also provide training and direction to students and staff regarding financial processes, enhancing their understanding of the university's structure and financial management.

Responsibilities

  • Develop, coordinate, and maintain Center reports and materials, seasonal projects and events, Impact Reports, and end of semester reports and assessments.
  • Manage all administrative tasks for the center; facilitate meetings; manage all technology usage, passwords, and equipment tracking; develop manuals; maintain website with frequent updates, current information, and relevant posts.
  • In partnership with Parking & Transportation, Student Experience partners and Center leadership interns, provide coordination for the University-wide engagement transportation system, including planning, daily oversight, schedule review, and on-demand troubleshooting.
  • Regular meetings and process review with interns to ensure the success of the complex institutional program.
  • Manage all administrative payroll and hiring procedures; procurement card and reconciliations; budget management; purchases and procurements.
  • Develop, implement and monitor financial control processes in compliance with University policies; work with Advancement for appropriate processing of donations.
  • Provide training, direction, and management of financial processes to students and staff for procurement, travel, reconciliations, and budget reviews.
  • Connect, consult, and collaborate with appropriate campus and community partners to achieve institutional compliance.
  • Communicate and consult with internal colleagues, such as Risk Management and Department of Public Safety, to mitigate risk and disseminate best practices, protocols, and procedures.
  • Provide overall guidance and consistency in policy and procedure decisions within the work unit and collaborations.
  • Other duties as assigned.

Requirements

  • Bachelor's degree or equivalent combination of education and experience.
  • Two (2+) plus years of work experience in a similar position with significant programmatic and administrative responsibilities.
  • Strong communication, negotiation, and organizational skills are essential.
  • Knowledge of best practices in university activities with excellent administrative skills.
  • Cultural competence with a commitment to creating and sustaining equitable programs and events responsive to the needs of a diverse and changing campus community.
  • Ability to prioritize pending tasks and requests, keeping student needs and University processes/risk in mind.
  • Ability to function in a fast-paced environment with several other professional and student staff in close proximity.
  • Ability to work independently, attention to detail, sound judgment and problem-solving skills required.
