About the position

The Operations Coordinator at Democracy Prep Public Schools plays a crucial role in ensuring the smooth operation of school-based systems, events, and initiatives. This position supports school staff, scholars, and families, contributing to the mission of providing a rigorous education and fostering civic engagement. The coordinator will report to the Operations Manager and will be responsible for managing various operational processes, enhancing communication, and creating a positive school culture.

Responsibilities

  • Learn the day-to-day responsibilities of numerous operational processes to increase knowledge and flexibility across the team.
  • Serve as a first-responder for basic technology issues for staff and scholars and coordinate findings with an external technology support organization.
  • Liaise with external technology support and network technology teams, reflecting on trends and proposing system improvements.
  • Support school culture by managing behavior, developing relationships, and engaging positively with scholars.
  • Coordinate logistics of school meal service, including scheduling and ensuring compliance with safety expectations.
  • Manage the procurement, distribution, organization, and inventory of school supplies.
  • Oversee the beautification of the school environment.
  • Assist in planning logistics and execution of school field trips and events, managing budgets and purchases.
  • Establish and maintain a positive experience for families during the enrollment process, ensuring access to necessary technology.
  • Assist in managing a school-wide family communications plan, analyzing engagement data for effective communication.
  • Coordinate communications to parents in their preferred language, utilizing interpretation and translation services as needed.
  • Support the preparation and processing of internal and state assessments.
  • Establish and manage a family leadership program to enhance family involvement in the school community.
  • Create a welcoming environment for families and guests by maintaining clean and informative reception areas.
  • Engage with scholars, families, and staff in attendance processes to maximize academic opportunities and support truancy prevention.
  • Maintain internal and external student information databases with accurate contact information.
  • Document and ensure accessibility of systems, protocols, and policies for all stakeholders.
  • Perform other school operations tasks as assigned by the Operations Manager.

Requirements

  • Mid-level experience in operations or project management.
  • Strong budgeting skills and experience managing event budgets.
  • Exceptional communication skills, both verbal and written.
  • Ability to work collaboratively with diverse stakeholders.
  • Proficient in technology and able to troubleshoot basic issues.

Nice-to-haves

  • Experience in an educational environment or with school operations.
  • Bilingual abilities to support communication with families in their native languages.
