About the position

FLEX College Prep, one of California's leading educational service providers, is seeking an Operations Coordinator to enhance our diverse client base by supporting academic and counseling programs as well as center operations. This role is pivotal in ensuring that our operations run smoothly and efficiently, directly reporting to FLEX's Operations Supervisor. The Operations Coordinator will be responsible for a variety of tasks that contribute to the overall success of our educational services. Training will be provided to ensure that the new hire is well-equipped to handle the responsibilities of the position. In this role, you will work closely with team members to set and implement policies, procedures, and systems, ensuring that these are followed through effectively. You will coordinate and maintain center operations, which includes welcoming guests, maintaining student files and gradebooks, ordering supplies, and ensuring cleanliness within the center. Monitoring day-to-day operations is crucial, as you will track and report on program performance, recommending actionable improvements as necessary. Communication is key in this position. You will be responsible for addressing inquiries, concerns, and requests from current and potential clients via phone, email, and in person. Additionally, you will communicate customer issues with the operations team and devise strategies to improve the customer experience, including resolving any problems or complaints that may arise. Supporting marketing and business development efforts by attending and participating in FLEX webinars, seminars, and other events will also be part of your responsibilities.

Responsibilities

  • Work closely with team members to set and implement policies, procedures, and systems.

  • Monitor day-to-day operations, tracking and reporting on program performance and recommending actionable improvements as necessary.
  • Communicate with current and potential clients regarding inquiries, concerns, and requests via phone, email, and in person.
  • Communicate customer issues with the operations team and devise ways of improving the customer experience, including resolving problems and complaints.
  • Support marketing and business development by attending and participating in FLEX webinars, seminars, and other events.

Requirements

  • Bachelor's degree
  • 1 or more years of previous operations and project management experience
  • Proficient in G-Suite and communication and collaboration tools such as Zoom and Basecamp
  • Strong problem-solving and analytical skills
  • Strong verbal and written communication skills with clients and colleagues
  • Proven interpersonal communication and organizing skills to coordinate program activities
  • Ability to develop and implement operational procedures and policies
  • Deadline and detail-oriented
  • Availability to work Tuesday to Friday 11:00 am - 8:00 pm and Saturday 8:00 am - 5:00 pm.
