About the position

The Operations Coordinator at Mattel Sales Corp. plays a crucial role in providing operational support to the Pennsylvania Distribution Center (PADC) Human Resources and Operations Team. This position involves a variety of administrative tasks that are essential for the smooth functioning of the facility. The Operations Coordinator will be responsible for running reports, organizing data, ordering supplies, invoicing, coordinating events, and providing general office support. A key aspect of this role is to be a proactive problem solver, anticipating potential issues before they arise to ensure that day-to-day operations run smoothly. In addition to administrative duties, the Operations Coordinator will track and review employee hours worked under various labor codes to ensure accuracy and will run reports as needed. The role also involves managing invoices, reviewing purchase orders, preparing payments for vendors, and reconciling discrepancies. Effective communication is vital, as the Operations Coordinator will relay important business updates to employees through text messages and PowerPoint presentations displayed on distribution center monitors. The position requires collaboration with external vendors for facility repairs, maintaining strong relationships with service providers and the facility landlord. The Operations Coordinator will also partner with the DC Safety Supervisor on safety initiatives, emphasizing a culture of safety within the workplace. Organizing engagement events and team bonding activities is another responsibility, which may involve working with catering vendors. The role is primarily focused on supporting DC Operations (90%) with a smaller portion dedicated to Human Resources (10%). Other duties may be assigned as necessary, making flexibility and adaptability key traits for success in this position.

Responsibilities

  • Provide day-to-day support to the Pennsylvania Distribution Center Human Resources and Operations Team.
  • Run reports and organize data as needed.
  • Order supplies and manage invoicing processes.
  • Coordinate events and partner with vendors for various needs.
  • Track and review employee total hours worked under various labor codes for accuracy.
  • Communicate important business updates with employees via text message and PowerPoint presentations.
  • Partner with external vendors for facility repairs and obtain financial approvals as required.
  • Maintain strong relationships with vendors, service providers, and the facility landlord.
  • Collaborate with the DC Safety Supervisor on safety initiatives.
  • Organize DC engagement events and team bonding activities, partnering with catering vendors when necessary.
  • Review and import safety data sheets to the 3E system.
  • Provide general support primarily to DC Operations and secondarily to Human Resources.

Requirements

  • High school diploma or GED; or 1-2 years related experience and/or training; or equivalent combination of education and experience.
  • Strong knowledge in Microsoft Office, particularly Excel and PowerPoint.
  • Strong attention to detail and writing skills for reports and correspondence.
  • Ability to read and interpret shipping documents, bills of lading, and inventory documents.
  • Strong oral communication skills to effectively speak before staff, management, customers, and vendors.
  • Ability to analyze and interpret reports, graphs, and other data.
  • Strong and accurate data entry skills.
  • Experience working in a warehouse or logistics environment is preferred.
