About the position

The Operations Coordinator (OC) plays a vital role in supporting the daily operations of the Grant and Per Diem Programs funded by the US Department of Veterans Affairs. Reporting directly to the Lead Operations Coordinator, the OC assists in managing program activities, maintaining records, and ensuring effective communication within the team and with visitors. This position is essential for the smooth functioning of the program and requires strong organizational and customer service skills.

Responsibilities

  • Provide operations support to the Grant and Per Diem (GPD) team with managing and monitoring program activities.
  • Maintain files for program record management.
  • Ensure accuracy of weekly, monthly, and other periodic reports as assigned by the Lead Operations Coordinator.
  • Greet guests/visitors entering the program site, determine the nature and purpose of their visit, and direct or escort them accordingly.
  • Create, store, retrieve, and maintain electronically prepared materials.
  • Maintain and control CVAF confidential reports.
  • Answer incoming phone calls, transfer them as needed, and take messages for recipients.
  • Maintain a roster of all residents on a daily and nightly basis.
  • Maintain inventory of all supplies needed by staff and residents.
  • Ensure cleanliness, organization, and inventory of paper supply and hygiene closets.
  • Handle mail pick-up and distribution for residents and staff.
  • Maintain contact and relay urgent messages and issues to residents or GPD program site staff.
  • Perform additional duties as directed by the Operations Coordinator or designee.

Requirements

  • Experience with Microsoft Word programs.
  • Ability to use office appliances such as printer, copier, and fax.
  • Document management skills.
  • Excellent communication and customer service skills.
  • Must hold a valid California Driver's License.
  • Must be able to be insured and drive CVAF vehicles.

Nice-to-haves

  • Honorably discharged veteran or individual with lived experience in homeless services.
  • Experience working in the non-profit sector.
