About the position

The Operations Coordinator at Ergon, Inc. plays a crucial role in supporting the Corporate Maintenance department, primarily servicing the Asphalt and Emulsions division. This position is responsible for day-to-day operations support, driving continuous improvement efforts, and managing operational systems, policies, and procedures. The ideal candidate will work collaboratively with supervisors and co-workers to enhance maintenance services across a network of over 80 locations in the U.S.

Responsibilities

  • Provide day-to-day support to the Shop Supervisor and Fired Equipment Supervisor for coordinating Corporate Maintenance services.
  • Develop, track, and improve databases related to work order management and equipment reliability.
  • Create and manage work orders in the KPI system, Clockify, and input technician hours and expenses.
  • Collect and consolidate procurement card coding information and receipts for submission to the card administrator.
  • Complete expense reports in SAP Cloud for travel as requested.
  • Collect and enter technician time into the payroll program, Kronos.
  • Maintain PPE spreadsheet database and coordinate equipment calibrations to ensure fit for service.
  • Manage vehicle fleet, ensuring updated tag registration and maintaining mileage logs and inventory records.
  • Oversee parts receiving, maintaining office and shop supplies, spare parts/equipment inventory, generating POs, and invoice payments.
  • Manage equipment in SAP by building new files, gathering data, and updating equipment locations as work orders are completed.
  • Promote and maintain a clean and organized shop, office, and fleet vehicles.
  • Identify inefficiencies and promote continuous improvement initiatives such as 5S activities and data tracking.
  • Implement and manage MaintainX (CMMS) for spare parts inventory, work orders, and compliance programs.
  • Oversee the entire lifecycle of work orders in SAP/MaintainX/Work Order Dashboard from initiation to completion.
  • Be available for out-of-town and overnight assignments.

Requirements

  • Bachelor's degree or Associate's degree preferred.
  • Prior experience in an industrial environment and office management.
  • Self-motivated individual with strong leadership, communication, and organization skills.
  • Ability to multitask and prioritize effectively.
  • Experience with SAP Plant Maintenance (preferred), Microsoft Windows, Word, Excel, and Outlook.
  • Experience in reporting, data analysis, spreadsheets, databases, and/or presentation software.

Nice-to-haves

  • Experience in a maintenance or operations role within the oil and gas industry.
  • Familiarity with compliance programs and safety regulations.
