About the position

The Operations Coordinator plays a crucial role in supporting project management by ensuring the successful planning, execution, and completion of assigned projects. This position involves close collaboration with project management and service teams to manage contractual requirements and documentation, ultimately aiming for client satisfaction and positive financial outcomes.

Responsibilities

  • Assisting PMs to track NTPs and LOIs until they are converted to change orders.
  • Coordinate with PM monthly project SOV and billing for customer and act as POC for accounting on issues related to these items.
  • Project submittals, As Built and closeout document procurement.
  • Coordinate with PM monthly project reports including TS reporting and CTC estimates.
  • Assist PMs with project budget maintenance including PM job costing.
  • Assist PMs with project reporting and estimates for customers as needed.
  • Coordinate project inspections.
  • Coordinate the project transition to the service department.
  • Manage/update weekly the WIP report with direct input from PMs.
  • Assist Purchasing Dept. and PMs by tracking, costing and documenting project material orders.
  • Coordinate Tech schedule with OPS Manager and the project management team as needed.
  • Assist Project Managers with project closeout process.
  • Customer direct follow-up as needed.
  • Coordinate and manage project contract process through final contract execution.
  • Assist with timecard assessment and approval.
  • Assist with expense report assessment and approval.
  • Assist with new project kick off meetings, and other Ops related meetings as needed.
  • Coordination of project deliveries for materials, tools, and equipment.
  • Responsible for project safety and project specific documentation (e.g., JHAs, Dailys, Toolbox Talks, etc.) including proper filing of such documentation.
  • Assist with the tracking, reporting, and final summary reports for T&M projects and change orders.

Requirements

  • 3 years coordination experience, preferably in a construction environment.
  • Excellent written and verbal communication skills.
  • Responsible, self-motivated, detail oriented, personable, and well-organized.
  • Superior customer service skills to deal with both internal and external customers.
  • Manage multiple tasks simultaneously.
  • Strong planning and organizational skills.
  • Ability to work effectively in stressful situations.
  • Proven ability to coordinate multiple projects/activities in a fast-paced environment.
  • Attention to detail and high level of accuracy.
  • Demonstrated strong interpersonal skills and ability to work with multiple members of a team.
  • Strong Microsoft Office skills.
