About the position

The Operations Coordinator at Dartmouth College plays a crucial role in supporting the Center for Social Impact and its various programs. This position is designed for a 10-month term and involves a diverse range of responsibilities that contribute to the operational efficiency of the center. The coordinator will be responsible for transportation coordination, operational support, event and meeting coordination, and communications. In terms of transportation coordination, the Operations Coordinator will manage the DCSI vehicle fleet, ensuring compliance with college-approved driver processes, executing vehicle scheduling, and collaborating with vehicle rental vendors. This role also includes the maintenance of the fleet, which may involve physically removing ice and snow from vehicles and surrounding areas. Operational support is another key aspect of this position, where the coordinator will handle various administrative tasks such as answering the main phone line, monitoring the center's email account, coordinating travel logistics, entering financial payments, reconciling expenses, and performing data entry. The coordinator will also provide backup support for other areas of the Center as needed. Event and meeting coordination is essential, as the coordinator will work closely with the DCSI team to organize center-wide and program-specific events. This includes managing reservations, logistics, budgets, catering, travel arrangements, and the setup and takedown of events. Finally, the Operations Coordinator will collaborate with the Communications team and the Director to coordinate the creation and logistics of content for various communication mediums, including newsletters, mailings, and social media. This position requires a strong commitment to diversity, inclusion, and cultural awareness, which should be reflected in all interactions and communications with others.

Responsibilities

  • Coordinates the DCSI vehicle fleet and driver training processes, managing compliance with college-approved driver processes.
  • Executes vehicle scheduling and collaborates with college vehicle rental vendors.
  • Schedules and coordinates vehicle maintenance, including manual removal of ice and snow from vehicles and surrounding locations.
  • Provides operational support functions for the Center for Social Impact, including answering the main phone line and monitoring the center's email account.
  • Coordinates travel logistics, enters financial payments, reconciles expenses, and performs data entry.
  • Provides backup and general administrative support for other areas of the Center as needed.
  • Coordinates center-wide and program-specific events, including reservations, logistics, budget, catering, travel, setup, and takedown.
  • Works with the Communications team and Director to coordinate the creation and logistics of content for newsletters, mailings, and social media.

Requirements

  • Bachelor's degree or equivalent combination of education and experience.

  • Excellent organizational skills and the ability to plan and prioritize work.
  • Strong oral and written communication skills.
  • Proficient with computer applications (Word, Excel, Internet, Database Management, etc.).
  • Experience with event coordination.

  • Valid U.S. driver's license.
