As an Operations Coordinator, you will play a key role in ensuring the smooth operation of our branch. Your responsibilities will include answering telephones, filing vendor invoices, managing the cash drawer, preparing deposits, reconciling invoices, and following up on recurring billing issues. You will also be responsible for contacting vendors regarding billing discrepancies and assisting the HR department with local processes related to new hire and termination paperwork. Additionally, you will support the Branch Manager in setting up meetings and events as needed. This position requires a high level of organization, attention to detail, and the ability to work both independently and as part of a team. Responsibilities

  • Answering telephones
  • Filing vendor invoices, sales tickets, and receiving documents
  • Managing the cash drawer
  • Preparing deposits
  • Reconciling invoices
  • Following-up on recurring billing issues
  • Contacting vendors regarding billing discrepancies
  • Assisting HR in local processes for new hire/termination paperwork
  • Supporting the Branch Manager in setting up meetings/events for the branch if applicable

Requirements

  • High school diploma or equivalent
  • Minimum two years clerical or administrative experience preferred
  • Computer literate
  • Familiarity with Microsoft Office software (Word, Excel, PowerPoint)
  • Ability to communicate effectively
  • Good writing and problem-solving skills
  • Attention to detail and basic math skills
  • Ability to follow verbal and written instructions
  • Knowledge of principles and practices of organization, planning, records management and general administration
  • Ability to work independently and as part of a team
