About the position

Homeland Safety Systems, Inc. is a rapidly expanding and ever-changing company with a core focus in industrial and commercial security consulting, design, engineering, and installation of access control, CCTV, and communication equipment for high-end, complex electronic security systems. We currently serve customers throughout Louisiana, Mississippi, Arkansas, and Texas. The Operations department is vital to the growth and success of our company. Our Operations team members aid customers with service requests, schedule technicians, and oversee the services or installations performed. One of the most important aspects of the Operations department is taking care of our customers and ensuring they are satisfied. Our trademark level customer service has earned our company an illustrious reputation, strengthened our customer relationships, and opened doors to new opportunities and referrals. Homeland Safety Systems Inc. is looking for an Operations Coordinator who will thrive in an active and fast-paced environment. A successful candidate will be responsible for assisting the Operations department in day-to-day functions, reporting, and record keeping. This position is located in our Shreveport, Louisiana office.

Responsibilities

  • Answering and directing phone calls
  • Maintain and update Pipedrive CRM
  • Receive service requests via phone and email
  • Create and Issue Work Orders for service requests
  • Assist with creating and maintaining the Technician Schedule
  • Schedule onsite service on Work Orders not resolved remotely
  • Dispatch technicians to complete service requests
  • Maintain open communication with customers to ensure satisfaction in the resolution of their service calls and the quality of the service performed
  • Create pre-installation paperwork and folders for Installation Technicians
  • Create Daily Time Reports based on Technician Daily Project Reports
  • Work with Inventory, Production, and other Operations staff to schedule installations
  • Manage preparations for new installation projects
  • Complete and maintain As Built information for completed installations
  • Verify and maintain Client Records both digitally and physically
  • Maintain Client privacy and confidentiality
  • Create and follow up with customers on Service Quotes
  • Work with Inventory and other Operations staff to ensure that the required Preventative Maintenance and Truck Inventories are completed as scheduled
  • Make travel arrangements for technicians and crews completing out of town installations
  • Coordinate with Accounts Payable for per diem needs
  • Assist Operations staff with other projects and duties as needed

Requirements

  • Clean Background
  • Ability to pass state and federal background checks to obtain industry licenses and security clearance
  • Must pass pre-employment and random drug screens (Required by State Law)
  • Maintain client integrity and confidentiality
  • Current driver's license and clean driving record (MVR)
  • Thrives in a fast-paced, rapidly changing, and high-growth environment
  • Knowledge of Microsoft Office and use large database systems
