About the position

The Operations Coordinator plays a crucial role in ensuring that staff technology needs are met and that the overall operations of the organization run smoothly. This position involves collaboration with various departments and external IT vendors to provide support and training, manage IT systems, and coordinate logistics for meetings and events. The Operations Coordinator is dedicated to empowering staff and enhancing productivity within the organization.

Responsibilities

  • Work with managed IT services vendor to ensure staff needs are met; serve as primary point of contact for staff regarding IT needs.
  • Provide IT trainings to staff or coordinate trainings with outside providers.
  • Onboard new staff and ensure staff understand IT protocols, software, and equipment.
  • Provide on-site technical support as needed to staff across multiple office buildings, particularly within Microsoft Office 365 software products.
  • Manage large-scale IT projects and upgrades in collaboration with the managed IT services vendor and Operations Manager.
  • Manage agency-wide accounts with ISPs, mobile phone provider, and software vendors (i.e., Adobe).
  • Manage agency-wide IT systems including Brivo building security system.
  • Set up new users with necessary equipment, access permissions in department-specific software, and appropriate training in collaboration with Operations Manager and Directors.
  • Manage online staff portal and coordinate with marketing, human resources, and department directors to ensure content is regularly updated.
  • Support COO and Operations Manager with ensuring smooth daily operations of organization, physical plant, programs, and equipment.
  • Coordinate logistics for quarterly all-staff meetings, as well as trainings and/or events as needed.
  • Order supplies, research, and procure products and equipment to meet staff needs efficiently.
  • Handle the processing of expenses, invoices, and vendor payments, ensuring accuracy and timely submission.
  • Attend and participate in departmental, organization-wide, and other meetings.
  • Act in the best interest of the organization, reflecting the values of teamwork, collaboration, and mutual respect.

Requirements

  • Expert proficiency in Office 365 software required.
  • Familiarity with SharePoint for document management, collaboration, and organizing team resources.
  • Excellent organizational and project management skills.
  • Strong written and verbal communication skills.
  • Proven ability to manage multiple priorities and competing deadlines.
  • Bachelor's Degree, or 5 years of relevant work experience.
