About the position

Flagship Facility Services, Inc. is seeking an enthusiastic Operations Coordinator to assist with the management of daily business activities and administrative tasks, ensuring employee wellness and operational effectiveness. The ideal candidate will possess exceptional organizational skills, strong communication abilities, and a passion for working with people. This role requires versatility, as the Operations Coordinator will be expected to wear many hats and handle a variety of responsibilities. The Operations Coordinator will play a crucial role in supporting human resources with employee orientation and training, managing invoices, and providing general support to all employees. In this position, the Operations Coordinator will perform essential administrative tasks, including handling phone calls, ordering office supplies, and maintaining a clean and organized office environment. The coordinator will assist in coordinating and organizing company events or meetings, as well as help existing and new staff with the airport badging process by creating profiles, making appointments, and submitting applications. Additionally, the Operations Coordinator will be responsible for inventory management and ordering employee uniforms and office supplies, organizing and distributing employee paychecks, and serving as a point of contact for general IT matters, including submitting Helpdesk tickets. The role also involves assisting Operations with reviewing and approving general invoices, tracking and updating reports, coordinating and enrolling employees in driver certification training, and processing employee requests such as new hire paperwork and tax forms. The Operations Coordinator will maintain the employee organizational chart and generate various reports using Excel and other Microsoft Office software. As a project lead for multiple projects, the coordinator will track progress and ensure completion with minimal supervision. Open, professional, and collaborative communication between management and clients is essential for success in this role.

Responsibilities

  • Perform administrative tasks such as handling phone calls, ordering office supplies, and ensuring the office environment is clean and organized.
  • Assist with coordinating and organizing company events or meetings.
  • Assist existing and new staff with the airport badging process by creating profiles, making appointments, and submitting applications.
  • Responsible for inventory and ordering of employee uniforms and office supplies.
  • Organize and distribute employee paychecks.
  • Serve as general point of contact to research, triage and resolve general IT matters including submitting Helpdesk tickets.
  • Assist Operations with reviewing and approving general invoices, tracking, and updating reports.
  • Coordinate and enroll employees in driver certification training.
  • Assist with intake and processing of employee requests such as new hire paperwork, tax forms, direct deposit requests, corrective actions notices, and on the job training forms.
  • Responsible for maintaining employee organizational chart.
  • Generate various reports using Excel and other MS Office Software.
  • Serve as a project lead for multiple projects, tracking progress and following through to completion with little or no supervision.
  • Perform other related duties as assigned to ensure the efficient and effective function of the work group.

Requirements

  • High School Diploma or GED Equivalent.
  • Minimum of two (2) years of administrative experience.
  • Working knowledge of Microsoft Office skills, specifically Word and Excel.
  • Experience creating Power Point presentations.
  • Ability to problem solve medium to complex issues with limited input from others.
  • Ability to effectively communicate and collaborate with a diverse range of people and job functions.
  • Ability to work independently with minimum supervision.
  • Strong organizational and time management skills.
  • Ability to work under pressure and meet tight deadlines.

Nice-to-haves

  • General understanding of Unions and labor laws related to timekeeping and wage compliance.
  • Bilingual in Spanish.
  • Progressive computer knowledge with intermediate skills.
