This position involves a variety of tasks, including managing executive schedules, coordinating meetings, overseeing financial processes, and supporting recruitment efforts. The ideal candidate will be proactive, organized, and capable of handling multiple responsibilities in a fast-paced startup environment.

Responsibilities

  • Coordinate and schedule meetings for the leadership team.
  • Prepare necessary materials for meetings, including agendas and presentation decks.
  • Book travel arrangements and manage trip logistics.
  • Organize office supplies and manage office-related activities.
  • Coordinate swag orders for team members, clients, and events.
  • Develop and implement social media strategies aligned with company goals.
  • Create and curate engaging content for various social media platforms.
  • Monitor social media channels and respond to inquiries in a timely manner.
  • Manage accounting processes through Pilot.com.
  • Oversee spend management using Ramp.
  • Handle payroll processing through Rippling, ensuring timely and accurate payments.
  • Plan and execute recruiting events to attract top talent.
  • Coordinate candidate outreach and manage scheduling via CEO's accounts.
  • Support the recruiting team with logistics and follow-ups.
  • Implement and optimize operational processes to increase efficiency.
  • Act as a point of contact for vendors and external partners.
  • Assist in special projects as needed.

Requirements

  • 2+ years of experience in an operations, executive assistant, or similar role.
  • Strong organizational skills and attention to detail.
  • Proficient with tools like Google Workspace, Microsoft Office, and project management platforms.
  • Familiarity with major social media platforms and social media management tools.
  • Understanding of social media best practices and trends.
  • Familiarity with finance platforms such as Ramp, Rippling, and Pilot.com is a plus.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • A positive attitude and a strong sense of ownership over tasks.
