About the position

A logistics firm in Middlesex County is seeking to hire an Operations Coordinator, preferably with over 2 years of experience in Ocean freight. The ideal candidate will also have experience in Air and International logistics, although this is not a strict requirement. This position is within a 3PL Logistics firm that specializes in providing fully customized single-source supply chain solutions. The firm serves clients across various industries, offering a single point of contact for high-quality, cost-effective, and seamlessly integrated logistics support. The Operations Coordinator will work under the guidance of the Director of Air & Sea and will be responsible for the day-to-day operations of logistics, compliance coordination, HTS (Harmonized Tariff Schedule) classification, and bookings. The role requires ensuring full compliance for import/export transactions, which includes the issuance of clearance instructions, monitoring, record keeping, and auditing. The successful candidate will interface with customs brokers, suppliers, and service providers to ensure adherence to defined export/import processes, and will be expected to manage and update international ocean and air freight to ensure the best solutions for product arrival. In addition to these responsibilities, the Operations Coordinator will prepare necessary documents to clear goods through US Customs, manage customer communications regarding shipment statuses, and analyze all aspects of international logistics to determine the most cost-effective means of transporting products. The role also involves tracking customer orders, resolving customs issues, and preparing international reports for both internal and external customers. The position may require the completion of department-specific tasks as requested by internal or external individuals, and other duties as assigned.

Responsibilities

  • Interface with custom brokers, suppliers and service providers to ensure consistency with defined export/import processes
  • Ensure all foreign agents requests are quoted and handled with a sense of urgency and by the required timeline
  • Prepare documents necessary to clear goods through US Customs while providing personalized customer service
  • Manage and update international ocean and air freight to ensure best solution for product arrival
  • Audit completed import/export shipment documentation for US Customs compliance and accuracy, communicate and log issues/results
  • Track customer orders and delivery, review any restricted party or export license holds, resolves any customs reject or warning letters
  • Analyze all aspects of international logistics to determine the most cost-effective or efficient means of transporting products that meets budget performance and minimizes transit times
  • Expedites clearance and release of shipments that have been delayed by Customs, FDA, USDA, and other government agencies as required; coordinate the release and delivery of goods with carriers
  • Communicate with customers on shipment statuses, delays, custom holds and important information
  • Input all pertinent data into company tracking software to allow for a just-in-time program to be available to our customers
  • Prepare international reports for both internal and external customers
  • Complete department and/or customer account specific tasks as requested by internal or external individuals
  • Performs other duties as assigned

Requirements

  • College graduate preferred
  • Minimum 2 years of related experience Coordinating import/export/transportation activity in a global operation
  • Logistics experience managing third party suppliers
  • Excellent and professional oral and written skills required; strong international business experience required
  • Ability to multi-task and function in a fast-paced environment
  • Proficient in Microsoft Office Suite
