About the position

The Operations Coordinator at LMR Technical Group will provide essential support services and deliverables, focusing on procurement and administrative tasks. This role involves coordinating various operational activities, managing schedules, and ensuring compliance with organizational policies and procedures. The Operations Coordinator will also serve as a resource for staff, facilitating communication and workflow within the organization.

Responsibilities

  • Provide support for various procurement and administrative tasks.
  • Coordinate the preparation of travel requests, professional service orders, and other official documents.
  • Maintain SOPs and guidance documents associated with organizational programs and systems.
  • Coordinate meetings, workshops, and courses for staff, including logistical arrangements.
  • Establish and maintain a fiscal year calendar and update shared calendars and databases.
  • Research information requested and maintain project status, following up on actions with office staff.
  • Produce a wide range of documents and address various office needs, including word processing and report preparation.
  • Support program staff with onboarding, procurement, travel, timekeeping, and property management.
  • Train new Administrative staff and provide backup coverage as needed.
  • Act as a point of contact with management and administrative staff regarding budget and property management.
  • Develop and maintain various administrative databases and coordinate equipment and supply orders.

Requirements

  • Bachelor's degree in business management and administration.
  • 5-7 years of related experience, preferably in a medical or clinical setting.
  • Knowledge of organizational travel and purchasing systems.
  • Proficiency with MS Office Suite.
  • Strong organizational and time management skills.
  • Experience in executive level support, meeting coordination, travel planning, and scheduling.

Nice-to-haves

  • Prior experience working with the National Institute of Health (NIH).
