About the position

The Operations Coordinator plays a crucial role in supporting various administrative functions within Coastal Fiber, LLC. Reporting to the Operations Supervisor, this position is responsible for enhancing operational efficiency, managing financial processes, and providing human resources support, all while ensuring effective communication and organization in a fast-paced environment.

Responsibilities

  • Support operational processes to maximize efficiency, minimize costs, and improve deliverables.
  • Develop and implement strategies to streamline workflows and enhance operational effectiveness in conjunction with the General/Operations Supervisor.
  • Process accounts payable and receivable, invoices, expense reports, and reimbursements in a detailed and timely manner.
  • Coordinate financial reporting and reconciliation with the Accounting Department.
  • Create preliminary and final Scopes of Work (SOW) for construction and traffic control, and manage job numbers and folders.
  • Onboard subcontractors and ensure Master Service Agreements (MSAs) are in place and catalogued.
  • Onboard new customers and maintain their information.
  • Verify payment statuses when requested and manage Coastal Inventory quarterly.
  • Assist with the recruitment process by scheduling interviews, processing new hire paperwork, and assisting with new hire orientations.
  • Coordinate off-boarding processes with Human Resources and IT, including setting up new hire phones.
  • Maintain office supply inventory, monitor stock, anticipate needs, and place orders.
  • Assist in the preparation of reports, presentations, and other documentation.
  • Maintain tracking of packing slips and check the outside mailbox.
  • Maintain the filing of documents and collect/report water meter readings.

Requirements

  • Associate degree in business or related field preferred but not required.
  • 1 - 3 years of operations support experience, preferably in Telecommunications Construction.
  • Ability to exercise mature judgment and suggest appropriate actions when working with employees, management, or customers.
  • Excellent analytical and problem-solving abilities with a focus on continuous improvement.
  • Proficiency in Microsoft Office Suite and operational software/systems.
  • Strong communication and interpersonal skills.
  • Ability to thrive in a fast-paced, dynamic environment and carry out duties assigned by management.
  • Effective internal and external communication skills, attention to detail, and high accuracy in work.
  • Exceptional organization, prioritization, and time management skills.
  • Ability to meet productivity standards and complete work within established deadlines.
