About the position

The Operations Coordinator at Vytelle is a pivotal role responsible for the day-to-day coordination of logistics related to the company's In Vitro Fertilization (IVF) operations. This position is based in Gahanna, Ohio, and reports directly to the Lab Manager. The Operations Coordinator will ensure the efficient and smooth operation of the physical location, overseeing general administrative functions and activities of the facility, including building maintenance and health and safety protocols. The role involves handling semen logistics for IVF, which is critical to the laboratory's daily operations. In this role, the Operations Coordinator will be tasked with managing client and customer service communications, ensuring accurate data entry, and maintaining inventory management for both semen and embryos. The position requires a high level of organization and attention to detail, as the coordinator will be responsible for checking in and tracking shipments, managing supplies, and maintaining the facility's operational standards. The coordinator will also contribute to process improvement recommendations and solutions, ensuring that the laboratory operates efficiently and effectively. The Operations Coordinator will engage in various responsibilities, including filing and reporting packing slips for accounting, tracking shipping incubators, and maintaining company assets. The role also involves attending health and safety committee meetings and other essential meetings related to the responsibilities of the position. The coordinator will need to be adaptable, as training for this position may require travel to different lab locations for assistance and training purposes. Responsibilities

  • Client, customer service, and intra-team communication.
  • Checking in embryos; entry and exit in our system and to record all the embryo or semen that is shipped.
  • Inventory management, storage, handling, and tracking (Semen and Embryos).
  • Accurate data entry and check as well as report generation.
  • Responsible for data check from clients of donors and matings.
  • Contribute process improvement recommendations and solutions.
  • Handling, shipping, and tracking of client embryos and semen.
  • Checking storage, ordering, handling, and receiving of supplies, including liquid nitrogen.
  • Filing and reporting packing slips for accounting.
  • Facilities maintenance (direct contact with landlord and provider companies such as cleaning, electrician, pest control, internet).
  • Tracks and inventories shipping incubators, organizing agenda and priorities for oocytes and embryo incubators.
  • Take initiative to solve facility problems.
  • Maintain company assets as applicable (vehicles, guest house).
  • Attend Health and Safety Committee Meetings and any extra meeting essential for the responsibilities.
  • Semen logistics (schedule shipments or receiving semen, coordinate with embryo logistics as needed).
  • Checking in semen, entry and exit in our system.
  • Prepare semen for IVFs scheduled the following day.
  • Ensure correct documentation of all inventories (receiving and delivering) for embryos and semen.
  • Manage semen inventory requests.
  • Manage communication regarding semen and embryos from clients and customer service.
  • Assist in monitoring liquid nitrogen tank levels.
  • Keep the semen room organized.
  • Conduct full semen and embryo audits.
  • Travel for training programs, other locations assistance, and company retreats.
  • Any other tasks assigned by the Lab Manager.

Requirements

  • Associate or bachelor's degree in relevant field.
  • Laboratory experience and knowledge of laboratory procedures.
  • Experience in reproductive endocrinology.
  • Proficiency in Microsoft Office Suite or related software necessary to create and maintain reports and logs.
  • Strong leadership skills.
  • Excellent written and verbal communication skills.
  • Excellent organizational and technical skills.
  • Excellent interpersonal and multi-tasking skills.
  • Ability to work under pressure and plan personal workload.
  • Physical stamina and strength to tolerate heavy lifting (around 50lbs) and standing/sitting for extended periods of time.
  • Visual acuity to read small letters on semen straws and embryos.
