A successful Operations Specialist will be detail-oriented, driven, and passionate about supporting agents and team members efficiently and effectively. The Operations Coordinator will provide exceptional support to our agent partners and manage the daily operations of a $120M team. This includes tracking lead sources, handling systems management, and engaging in business management and strategic planning with the owner and CEO. The role also involves building and managing marketing campaigns, maintaining marketing documents, and aiding in event planning and awareness campaigns. The Operations Coordinator will implement new systems, track VIP programs, manage online reviews, and perform website management tasks. Additionally, they will ensure that client transaction steps are executed fully and timely, maintain property listings, and assist in maintaining team shared drives and calendars. Participation in team meetings and contributing to process improvements is also expected.

Responsibilities

  • Provide exceptional support to our agent partners.
  • Manage daily operations of a $120M team.
  • Track lead sources and number tracking.
  • Handle systems management and event planning.
  • Engage in business management and strategic planning with the owner and CEO.
  • Build and manage marketing campaigns to engage our database.
  • Maintain and update marketing documents/presentations.
  • Aid in event planning and running event awareness campaigns.
  • Implement new systems and create efficiencies.
  • Track VIP programs and manage online reviews.
  • Perform some website management tasks.
  • Track commissions and referrals.
  • Monitor and update transaction databases and systems accurately and in a timely manner.
  • Ensure client transaction steps are executed fully and timely.
  • Enter and maintain property listings in MLS and other marketing platforms.
  • Data entry in CRM and other systems.
  • Assist in maintaining team shared drives, calendars, contacts, and website.
  • Participate in team meetings and contribute to process improvements.
  • Track and execute our client VIP program.
  • Track and manage all online reviews.
