About the position

The Operations Coordinator plays a vital role in ensuring the smooth operation and functionality of the office environment. This position is integral to the administrative team, which supports the firm's ongoing development and growth. The Operations Coordinator will work closely with the Administrative Manager and Facilities Manager to coordinate various tasks and activities that are essential for the day-to-day operations of the office. This includes managing the front desk, overseeing vendor relationships, and maintaining the organization of the office space. The role requires a proactive approach to problem-solving and a commitment to fostering a collaborative and inclusive workplace culture. In this position, the Operations Coordinator will be responsible for welcoming guests, answering calls, and ensuring that the front lobby and surrounding areas are well-organized. The coordinator will also manage the facilities inbox and the ticketing/badging system, ensuring that all requests are handled efficiently. Additionally, the role involves assisting with scheduling and logistics for meetings, events, and projects, as well as serving as a backup for other administrative staff when needed. The Operations Coordinator will also be tasked with distributing mail and packages to designated recipients and managing the office supply inventory to ensure that all necessary materials are readily available. Responsibilities

  • Support the day-to-day operations of the office by coordinating various tasks and activities as directed by the Administrative Manager.
  • Oversee front desk and maintain general organization of the front lobby and surrounding areas.
  • Oversee and support new/existing vendors across all Geos.
  • Oversee the management of the facilities inbox and ticketing/badging system.
  • Assist in scheduling and logistics for meetings, events, and projects.
  • Assist with events and serve as back-up to other admin staff.
  • Distribute mail and packages to designated recipients.
  • Manage office supply inventory.

Requirements

  • Minimum 1-year related work experience in consulting industry preferred.
  • Proficient in Microsoft Office Suite.
  • Knowledge of commonly used office concepts, practices and procedures.
  • Availability to work traditional business hours (8AM-5PM or 8:30AM-5:30PM) on-site in McLean, VA, at headquarters, Monday through Friday.
  • High School Diploma or GED, Bachelor's degree preferred.
