The Operations Coordinator plays a crucial role in supporting the IVCi Operations Team by managing various implementation tasks that are essential for the smooth functioning of operations. This position is primarily focused on processing quotes, purchase orders, and invoices, ensuring that all data entered into internal databases is accurate and up-to-date. The Operations Coordinator is also responsible for generating daily, weekly, and monthly reports that provide insights into operational performance and assist in decision-making processes. In addition to these core responsibilities, the Operations Coordinator will assist in managing subcontractor vendor relationships, providing recommendations that align with IVCi's goals while keeping Gross Profit considerations in mind. This role requires excellent administrative support to the Operations Management team, which includes managing general department communications, monitoring the Operations Admin shared inbox, and fielding phone calls to service or refer customers appropriately. The Operations Coordinator will also be tasked with maintaining accurate records of customer assets and tracking subcontractor performance. Coordination of labor resources for the implementation team, including creating labor purchase orders and managing subcontractor invoicing and approval processes, is a key aspect of this role. The position also involves managing Certificate of Insurance requests and tracking, assisting with the onboarding of new subcontractors, and ensuring that all necessary documentation is received and vetted. Regular updates to the management team, including data tracking and reporting, are essential, and the Operations Coordinator is expected to provide recommendations for improvement based on data analysis. Flexibility is important, as some occasional off-hours work may be required to meet project demands or backfill roles due to overbooking or vacations. The ideal candidate will be proactive, detail-oriented, and possess strong organizational skills to manage competing priorities effectively.
