About the position

The Operations Coordinator at Cultivate Learning is responsible for managing daily office operations and providing administrative support across various units and initiatives. This role involves ensuring a successful physical work environment, coordinating meetings and events, and supporting staff operations. The position requires a highly motivated individual who can work collaboratively and independently while maintaining a focus on service, quality, diversity, equity, and belonging.

Responsibilities

  • Oversee and manage operations of the office, including staffing the front desk and supporting all staff and visitors in the office.
  • Coordinate meetings at the office space with WA state partners and Cultivate Learning staff.
  • Design, strengthen, and implement customer service protocols and information dissemination with the Managing Director.
  • Answer and triage questions in person, by email, and by phone, escalating to appropriate teams as necessary.
  • Support successful planning and execution of meetings and events, including creation of meeting materials and managing catering orders.
  • Provide administrative support to the Executive Leadership team.
  • Manage scheduling system for office meetings and events.
  • Ensure all office supplies are stocked and equipment is working properly.
  • Sort all incoming and outgoing mail and packages, working with UW services as necessary.
  • Proactively work across teams to update and support improvements to the intranet.
  • Support the implementation of team-wide professional development opportunities.
  • Provide general administrative support to teams as requested, including event planning and employee travel.
  • Implement centralized onboarding support, including conducting office tours and maintaining team-wide rosters.
  • Provide support for procuring and assembling resources to support WA state initiatives.
  • Manage special projects as assigned.

Requirements

  • High school graduation or equivalent AND two years of experience with providing general office administrative support including logistics and operations coordination for a complex organization OR equivalent education/experience.
  • Front desk staffing and/or office management experience.
  • Progressively responsible project management experience.
  • Ability to work both collaboratively and independently, and successfully manage time and priorities to meet deadlines.
  • Strong attention to detail.
  • Strong organizing, planning, verbal and written communication, and interpersonal skills.
  • Ability to communicate clearly and concisely via email with supervisor regarding task status and needed supervisor action to complete tasks assigned.
  • Ability to work independently, apply critical thinking, and prioritize tasks in a high-volume customer service environment.
  • Resourceful and innovative attitude and a desire to use available information to solve problems in a self-directed manner.
  • Knowledge of and use of budget processes to support ordering, purchasing materials, and other financial operations.
  • Proficiency with Microsoft Office Suite, including a high level of competency with maintaining Excel spreadsheets.

Nice-to-haves

  • Demonstrated experience with and knowledge of the landscape of early learning in Washington State and nationally.
  • Bachelor's Degree.
