The Global Audio Visual Operations Coordinator plays a crucial role in managing the workflow, on-site materials, and the daily activities of the company. In this role, you will excel at managing phone, electronic, and in-person engagements, travel arrangements, and correspondence with both internal and external contacts. Your sharp business acumen and understanding of senior leadership priorities will enable you to represent the company at the highest levels during interactions with business leaders. You will ensure smooth systems operations and department functions by coordinating activities in the absence of your assigned leader. You will have an aptitude for identifying roadblocks and overcoming obstacles to see projects completed efficiently and effectively. This position requires you to thrive in an office environment while supervising multiple schedules and supporting various level leaders and their associated teams simultaneously. The operations role encompasses everything related to the on-the-ground show running, including client calls for onsite jobs, recruiting AV technicians, managing inbound and outbound warehouse calls, truck rentals, transportation for technicians, hotel room rentals, purchasing office supplies and tech equipment, renting equipment from other AV companies, placing technicians on shows, sending out purchase order information to technicians working the next day, overseeing warehouse functionality, maintaining inventory, receiving and organizing warehouse mail, confirming technician hours the day after their event, and scheduling internal employee breaks.

Responsibilities

  • Manage workflow and on-site materials for daily operations.
  • Coordinate executive schedules and activities effectively.
  • Handle phone, electronic, and in-person engagements.
  • Arrange travel for technicians and executives.
  • Oversee client calls for onsite jobs and recruit AV technicians.
  • Manage inbound and outbound warehouse calls and truck rentals.
  • Organize transportation for technicians and hotel room rentals.
  • Purchase office supplies and tech equipment as needed.
  • Rent equipment from other AV companies and place technicians on shows.
  • Send out purchase order information to technicians working the next day.
  • Oversee warehouse functionality and maintain inventory.
  • Receive and organize warehouse mail and confirm technician hours post-event.
  • Schedule internal employee breaks.

Requirements

  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple schedules and support various leaders.
  • Excellent communication skills for internal and external correspondence.
  • Entry-level experience in operations or coordination.
