About the position

The Operations Coordinator at Cultivate Learning is responsible for managing daily office operations and providing administrative support across various initiatives. This role involves coordinating meetings, enhancing customer service protocols, and ensuring a productive work environment for staff and partners. The position requires a motivated individual who can work collaboratively and independently to support the organization's mission of fostering quality learning opportunities.

Responsibilities

  • Oversee and manage operations of the office, including staffing the front desk and supporting all staff and visitors.
  • Coordinate meetings with WA state partners and Cultivate Learning staff.
  • Design and implement customer service protocols with the Managing Director.
  • Answer and triage questions in person, by email, and by phone, escalating as necessary.
  • Support planning and execution of meetings and events, including creating materials and managing catering orders.
  • Provide administrative support to the Executive Leadership team.
  • Manage scheduling system for office meetings and events.
  • Ensure office supplies are stocked and equipment is functioning properly.
  • Sort incoming and outgoing mail and packages.
  • Update and support improvements to the intranet across teams.
  • Support implementation of team-wide professional development opportunities.
  • Provide general administrative support for event planning, procurement, and employee travel.
  • Conduct office tours and maintain team-wide rosters for onboarding and offboarding.
  • Manage special projects as assigned.

Requirements

  • High school graduation or equivalent AND two years of experience in office administrative support or equivalent education/experience.
  • Front desk staffing and/or office management experience.
  • Progressively responsible project management experience.
  • Ability to work collaboratively and independently, managing time and priorities effectively.
  • Strong attention to detail and organizational skills.
  • Excellent verbal and written communication skills.
  • Ability to communicate task status clearly with supervisors.
  • Resourceful and innovative attitude with problem-solving skills.
  • Knowledge of budget processes for ordering and purchasing materials.
  • Proficiency with Microsoft Office Suite, especially Excel.

Nice-to-haves

  • Demonstrated experience with early learning landscape in Washington State and nationally.
  • Bachelor's Degree.
