About the position

The Operations Coordinator at Four Seasons provides essential administrative support to the Purchasing, Engineering, and Food & Beverage Departments. This role is pivotal in ensuring high levels of customer satisfaction while adhering to the company's policies and procedures. The coordinator manages various tasks including inventory management, vendor coordination, and procurement processes, contributing to the overall operational efficiency of the hotel.

Responsibilities

  • Provide clerical support to Purchasing, Engineering, and Food & Beverage departments, including managing emails, phone calls, and document preparation.
  • Oversee the maintenance system request, ensuring timely assignment and completion of work orders, purchase orders, and inventory management for both engineering supplied and food & beverage needs.
  • Monitor and maintain inventory levels for engineering supplies, tools, and food & beverage products ensuring that all departments are fully stocked to meet operational demands.
  • Work closely with vendors to facilitate timely ordering, delivery, and invoicing for engineering, food & beverage, and purchasing supplies.
  • Coordinate the procurement process, reviewing quotes with vendors to optimize costs for both equipment and food & beverage purchases.
  • Maintain accurate records of all purchasing, engineering, and food & beverage activities, including maintenance logs, equipment manuals, purchase orders, compliance documentation, and inventory reports.
  • Assist in monitoring the budget for purchasing and support the food & beverage team with cost control and tracking.

Requirements

  • Proficiency in Microsoft Office and property management systems (experience with systems like BirchStreet and HotSOS is a plus).
  • Prior experience in hospitality or a similar role preferred.
  • Ability to work independently while supporting a team environment.
  • Strong organizational and multitasking skills.
