About the position

The Operations Coordinator at Smith College plays a crucial role in the management and operation of the Campus Center, ensuring that all student organization events and space reservations are handled efficiently and effectively. This position is responsible for assisting with the overall operations of the Campus Center, including the Davis Ballroom, Chapin Lawn, and various student organization events across campus. The Operations Coordinator will support the Associate Director in various functions, including student staffing, training, setups, work-orders, and the day-to-day operations of the Campus Center. The Office of Student Engagement is dedicated to creating a vibrant student experience that aligns with the core values of Community, Learning, Wellness, and Social Justice. In terms of responsibilities, the Operations Coordinator will serve as the primary scheduler for Campus Center facilities, acting as the main point of contact for students and student organizations looking to reserve space. This role involves working closely with Events Management to identify the best locations for events and implementing best practices in scheduling software such as 25Live and student organization software like Engage. The Coordinator will also ensure the success of events through effective planning and logistics, including communication with clients, developing logistic plans, and coordinating with other departments to ensure event safety and satisfaction. Additionally, the Operations Coordinator will be involved in supervising and training student employees, assisting with curriculum development, and supporting training initiatives. The role also includes building and maintaining assessment and data collection regarding Campus Center spaces, utilizing data analytics to project usage trends, and making recommendations for improvements. The Coordinator will also be expected to back up other staff needs as necessary and perform related duties as required. This position is integral to the smooth operation of the Campus Center and the overall student experience at Smith College.

Responsibilities

  • Serve as the primary scheduler for the Campus Center facilities and the point of contact for all students and/or student organizations reserving space on campus.
  • Work directly with Events Management to discern best space locations outside of the Campus Center facilities.
  • Implement best practices in the scheduling software program (25Live) and student organization software (Engage).
  • Ensure event and client success through regular communication, direct meetings, and development of logistic plans.
  • Plan logistical details of events directly with other departments across campus for event success and safety.
  • Ensure client satisfaction through communication, planning, and development of programs for students, faculty, staff, and external stakeholders.
  • Recruit, train, schedule, and supervise 30 OSE Student employees in conjunction with the Associate Director.
  • Support learning outcomes, curriculum development, and assist with training and recognition initiatives.
  • Build and maintain assessment and data collection regarding Campus Center Spaces, including space usage and client feedback.
  • Utilize data analytics to project building usage and trends based on historical data.
  • Back up other staff needs as necessary and perform related duties as required.

Requirements

  • Associate degree required, Bachelor's degree preferred.
  • 1-3 years of relevant experience, or an equivalent combination of education and/or experience.
  • Experience with Student Development Theories and Student Training.
  • Proficiency in Event Management Software (25Live/EMS) preferred.
  • Excellent organizational, budgeting, interpersonal, and communication skills.
  • Attention to detail and accuracy; ability to take initiative and solve problems.
  • Proven experience working with diverse constituencies.
  • Ability to effectively manage multiple and competing projects and priorities.
  • Proficiency in MS Office and other computer-based programs.
  • Excellent customer service skills and orientation.
