About the position

The Brennan Center for Justice at NYU School of Law is a nonpartisan law and policy institute dedicated to improving the systems of democracy and justice in the United States. The Center works to hold political institutions and laws accountable to the American ideals of democracy and equal justice for all. Among its core priorities, the Brennan Center fights to protect voting rights, end mass incarceration, strengthen checks and balances, and preserve constitutional protections in the fight against terrorism. The organization operates as part think tank, part advocacy group, and part cutting-edge communications hub, starting with rigorous research, crafting innovative policies, and advocating for them in Congress, the states, the courts, and in the court of public opinion. We are seeking an energetic, motivated, and well-organized Operations Coordinator to join our Finance & Operations Team. The Brennan Center maintains a busy office of approximately 170 staff and 40 interns. The Operations Coordinator plays a vital role in office operations, which includes receptionist responsibilities such as answering phones and greeting guests. This position requires collaboration with internal stakeholders and external vendors to ensure the office runs smoothly. The Operations Coordinator will be part of the Projects and Finance & Operations team, managed by the Manager of Administration and Special Projects, and will work closely with the Office Manager. Note that Brennan Center employees adhere to a hybrid schedule that is subject to change, currently requiring in-office work a minimum of three days per week on Mondays, Tuesdays, and Thursdays. However, this position is in-office five days a week and is based at our headquarters in New York City.

Responsibilities

  • Answers phones and greets guests, interacting with the Center's allies, donors, and interested members of the public.
  • Supports projects managed by the Manager of Administration and the Office Manager.
  • Manages supplies, inventory, purchasing, and distribution.
  • Assists in the upkeep of the office, including the coordination of repairs and special maintenance items, such as HVAC maintenance and cleaning staff.
  • Liaises with building management and security to address office needs.
  • Supports training and onboarding processes.
  • Trains and oversees interns and temporary workers in performing office administration and receptionist responsibilities.
  • Supports office morale events and activities, such as holiday parties and summer picnics.

Requirements

  • A bachelor's degree, or equivalent mix of education and pertinent experience.
  • 2-3 years of experience working in an office environment.
  • Excellent phone etiquette.
  • Excellent interpersonal and communication skills.
  • Keen attention to detail and an ability to multitask.
  • An openness to evolving responsibilities.
  • Proficiency in Microsoft 365 and Outlook and familiarity with business machines and technology.
  • Ability and willingness to lift heavy boxes (up to 50 lbs) and office equipment, as needed.
  • An interest in the work of the Brennan Center.
  • Sense of humor.

Nice-to-haves
