The Operations Coordinator at KIPP Delta plays a crucial role in supporting the school's mission by managing various operational tasks and ensuring effective communication among staff, parents, and students. This position is vital for maintaining a welcoming and organized school environment, which is essential for fostering academic achievement and a positive school culture. The Operations Coordinator will report directly to the Director of Operations and will be responsible for a wide range of duties that include administrative support, health and safety compliance, data entry and management, finance support, and student recruitment activities. In terms of communication, the Operations Coordinator will engage respectfully with parents, guardians, and staff, being sensitive to diverse cultures and values. This role involves collaborating with school leadership teams to implement KIPP Delta's mission and ensuring that all staff members are well-informed about procedures and have the necessary resources to operate effectively. The Coordinator will also assist in creating a school culture that emphasizes strong academic achievement, fairness, respect, and high expectations for behavior. Administrative responsibilities include maintaining an organized and welcoming main office, managing inbound and outbound communications, and ensuring that all important materials are readily available for parents and visitors. The Coordinator will also handle scheduling, assist in planning events, and manage office supplies and equipment. Health and safety duties involve ensuring compliance with visitor policies, attending first aid training, and maintaining secure entrances and exits. Data management is another critical aspect of this role, as the Operations Coordinator will be responsible for entering and maintaining student data, tracking attendance, and processing record requests. Additionally, the Coordinator will support financial operations by accepting payments, completing bank deposits, and liaising with the regional finance department. Finally, the Operations Coordinator will assist in student recruitment efforts by processing applications and supporting recruitment activities.

Responsibilities

  • Communicate respectfully and thoughtfully with parents, guardians, and staff.
  • Work with school leadership teams to implement KIPP Delta's mission.
  • Assist in creating a school culture focused on academic achievement and respect.
  • Ensure staff members understand procedures and have necessary resources.
  • Maintain an organized and welcoming main office with important materials.
  • Manage inbound and outbound calls and create internal announcements.
  • Write bus passes as needed for students.
  • Receive, distribute, and prepare incoming/outgoing mail and shipments.
  • Schedule appointments for parents and visitors with leadership members.
  • Answer phones and redirect inquiries appropriately.
  • Assist in planning and coordinating student and staff travel and events.
  • Process, produce, and distribute memos and newsletters.
  • Schedule monthly safety drills, inspections, and trainings.
  • Complete special projects to improve school operations.
  • Maintain supply of uniforms and distribute to families.
  • Process supply orders and maintain office supplies.
  • Ensure office equipment is in working order.
  • Ensure Visitor and Volunteer Policy is followed and visitors are screened.
  • Attend first aid and CPR training and respond as needed.
  • Enter and maintain student data within KIPP Delta's systems.
  • Maintain accurate student attendance records and track trends.
  • Process late arrivals and follow up with families of absent students.
  • Ensure student records are up to date and process record requests.
  • Print and distribute Liveschool paychecks and other announcements.
  • Accept payments from students and families and provide receipts.
  • Complete bank deposits, petty cash, and credit card reconciliations.
  • Liaise with the regional finance department for payments and requests.
  • Process applications in the student recruitment system and provide updates.
  • Create physical folders for new students and assist in scheduling meetings.

Requirements

  • 1-2 years experience in operations, maintenance, and administration, preferably in a school setting.
  • Associate Degree preferred.
  • Eschool experience preferred.
  • First Aid Certification.
  • Proficiency in Microsoft Excel, Project, Word, and Outlook.
  • Excellent project management, organizational, and customer service skills.
  • Demonstrated ability to build relationships across teams.
  • Comfort with a broad range of technology hardware and software preferred.
  • Demonstrated ability to work in a fast-paced, high energy environment with multiple deadlines.
  • Results-oriented, hands-on team player dedicated to getting the job done.

Nice-to-haves

  • Experience in a school setting is preferred.
  • Familiarity with educational software and systems.
