About the position

The Public Health Operations Coordinator plays a crucial role in ensuring the smooth operation of the Public Health department. This position involves managing records, coordinating facility projects, onboarding new employees, and overseeing daily operations in the customer lobby. The ideal candidate is detail-oriented, possesses strong communication skills, and thrives in a fast-paced environment, contributing to the health and well-being of the community.

Responsibilities

  • Perform data entry into databases; update and maintain records, files, and documents.
  • Train others on the database as needed.
  • Ensure adherence to Record Retention Policy for all programs within the department and act as liaison with the Records Center.
  • Determine appropriate responses to requests for records while maintaining compliance with applicable laws and regulations.
  • Serve as the primary contact for issues and projects related to departmental operations; coordinate with appropriate personnel.
  • Track facility operations and ensure employees have an operational working environment.
  • Coordinate employee moves and new employee workstation setups.
  • Facilitate cubical reconfigurations, building renovations, and construction projects; schedule contractors as needed.
  • Work with Digital, Strategy & Technology (DST) to resolve computer issues and troubleshoot problems.
  • Coordinate and provide onboarding and offboarding of employees.
  • Deploy, track, and assist new employees with cell phone and laptop equipment setup.
  • Coordinate the distribution and maintenance of building and room keys.
  • Ensure accuracy of cell phone statements and communicate with providers regarding contracts and billing.
  • Track and manage operational contracts, including document destruction and facilities software.
  • Prepare and assist with applicable meetings, committees, and work groups.
  • Perform quarterly agency safety inspections and resupply First Aid kits.
  • Assist with vendor selection for repair of departmental equipment.
  • Provide Fleet support services, including signing out reserved fleet vehicles and scheduling repairs.
  • Provide routine administrative support, including preparing and proofreading correspondence.

Requirements

  • High school diploma or equivalent education.
  • Two years of experience in operations coordination, facility coordination, or related experience.
  • Working knowledge of Microsoft Office programs, including Word, Excel, Outlook, and Access.
  • Strong time management skills with attention to detail.
  • Ability to work with frequent interruptions and prioritize tasks effectively.
  • Ability to communicate effectively and establish strong working relationships with staff and the public.
  • Ability to maintain confidentiality and compile accurate records.
