About the position

The Operations Coordinator at the Council of State Governments (CSG) East plays a vital role in executing administrative services that support various programs and events. This position is based in New York City and offers flexibility for remote work. The coordinator will liaise with the Executive Committee, assist in planning state visits, manage member dues, and support policy staff with outreach and research. Additionally, the role involves processing financial transactions, supporting the Annual Meeting, and handling office duties to ensure smooth operations.

Responsibilities

  • Liaison with Executive Committee and prepare materials for board meetings.
  • Assist with planning for state visits, including preparation of materials.
  • Coordinate member dues and track payments.
  • Prepare biennial policy committee appointment letters and maintain membership roster.
  • Support policy staff with outreach and research activities.
  • Assist with budget tracking for CSG East and project budgets.
  • Process accounts payable and receivable, including reimbursements and invoices.
  • Assist with Annual Meeting fundraising and preparation of publications.
  • Coordinate mailings and order office supplies.
  • Maintain an up-to-date website in collaboration with the communications manager.

Requirements

  • High school diploma or equivalent required; Associate degree preferred.
  • Two years of experience in an administrative role in an office setting.
  • Experience with federal or state government, association management, or non-profit organizations preferred.
  • Strong attention to detail and organizational skills.
  • Excellent customer service and interpersonal skills.
  • Proficient in Microsoft Office, especially Excel and Word.
  • Demonstrated database experience; willingness to learn new programs.
  • Ability to communicate professionally with business contacts and legislators.
  • Self-motivated with a strong work ethic and dependability.
