About the position

The Operations Coordinator at the Illinois Network of Charter Schools (INCS) plays a crucial role in supporting the office and executive team. This position requires a highly organized individual who is proactive, possesses excellent communication skills, and is committed to confidentiality. The Operations Coordinator will work closely with senior management to ensure efficient operations and contribute to the organization's mission of improving public education.

Responsibilities

  • Provide high-level administrative support to the Chief Program & Operations Officer, including managing calendars and scheduling meetings.
  • Organize travel and prepare for key presentations and events.
  • Support C-level members with filing, recordkeeping, and basic internet research as needed.
  • Manage day-to-day office operations tasks, including processing mail, greeting visitors, and maintaining an organized working environment.
  • Ensure proper functioning of office equipment and request servicing as needed.
  • Coordinate and prepare materials for executive meetings, including agendas and reports.
  • Maintain a central calendar of standard meetings and promote streamlined scheduling across the organization.
  • Prepare onboarding materials for new hires and organize personnel records.
  • File and maintain INCS records, documents, and reports.
  • Serve as a liaison between strategic leaders and their teams, maintaining professionalism and confidentiality.
  • Conduct research to support decision-making processes for Chiefs and above.
  • Attend annual meetings and train staff on emergency procedures.
  • Schedule staff and Board meetings, testing links and supporting meetings in virtual and in-person spaces.

Requirements

  • Bachelor's degree or equivalent experience in office management/administrative support preferred.
  • Proven ability to develop rapport and effectively work with a wide range of people.
  • Highly organized with excellent attention to detail and ability to manage multiple projects.
  • Strong written and verbal communication skills.
  • Advanced Microsoft Office skills including Word, Excel, and PowerPoint.

Nice-to-haves

  • Experience with SharePoint and database management.
  • Experience in event planning and coordination.
