About the position

The Operations Coordinator at ADMA Biologics plays a crucial role in supporting high-level executives by managing essential administrative functions. This position is designed to enhance the efficiency of the executive team by coordinating travel, scheduling meetings, preparing reports, and maintaining communication. The ideal candidate will thrive in a dynamic biopharmaceutical environment, demonstrating strong organizational and communication skills while managing multiple priorities.

Responsibilities

  • Coordinate and manage travel for the Vice President of Plasma Operations and Senior Director of Operations.
  • Maintain appointment calendar and arrange meetings and conferences.
  • Design and type general correspondence, memos, charts, and presentations.
  • Proofread documents for accuracy and clarity.
  • Organize and prepare notes from key meetings and send follow-up items.
  • Support donor centers with supply orders and meeting arrangements.
  • Act as a liaison for open communication with internal and external contacts.
  • Manage expense accounts and reconcile travel expenses.
  • Maintain an orderly filing system for business documentation.

Requirements

  • Bachelor's degree required.
  • Five or more years of successful administrative experience, including three years at the senior executive level.
  • Professional experience working with senior-level executives and external stakeholders.
  • Strong proficiency in Microsoft Office applications, particularly Excel and PowerPoint.
  • Excellent writing and communication skills.
