About the position

The Operations Coordinator at Birch Family Services is a pivotal role responsible for the overall management and supervision of community residences. This position entails providing oversight to a cluster of residences, ensuring the integrity of residential life, fiscal compliance, incident review, medical care, clinical support, and nutrition. The Operations Coordinator plays a crucial role in supervising and directing managers based on Birch's holistic approach, which emphasizes consumer safety and enhances the quality of life for individuals served. The Coordinator collaborates with various departments to ensure that procedures are properly implemented within the residences, thereby ensuring continuity of care for the individuals served. This is a full-time position that requires flexibility in scheduling, including the possibility of late evenings, early mornings, and weekends. In this role, the Operations Coordinator manages program services, improves existing services, and provides input on components needed to meet the needs of individuals within the residence. The Coordinator is responsible for protecting consumers and ensuring complete 24-hour coverage of the residences, thereby guaranteeing the safety and well-being of all residents. Additionally, the Coordinator ensures that program billing documentation adheres to state mandates and agency protocols, acting as an advocate for residents and encouraging self-advocacy. The Operations Coordinator also oversees communication with schools and day habilitation programs, ensuring that significant information regarding medication changes, hospital visits, behavior changes, and family issues is relayed appropriately. The Coordinator directs the activities of the Interdisciplinary Treatment Team (IDT) to ensure that each individual has a service plan tailored to their needs and desires, enabling them to achieve their potential. Collaboration with the clinical and medical teams is essential to ensure that all appointments and referrals are followed through as prescribed. Furthermore, the Coordinator works with Residence Managers to ensure that individuals are offered appropriate referrals for any recommended services not provided by the clinical team. The role also involves planning and providing complete 24-hour coverage of the residence, collaborating with Human Resources on recruitment functions, and assisting with site visits and interviews. After onboarding, the Coordinator trains, supervises, and evaluates all staff employed in the residence, including direct support professionals and clinical staff. Mentoring and coaching employees is a key aspect of this role to ensure that each staff member can perform their functions effectively. The Operations Coordinator is also responsible for maintaining the physical plant of the facility, ensuring it is clean, well-maintained, and free of hazardous conditions. Additionally, the Coordinator oversees the management of accounts for each individual's personal allowance and ensures the adequate supply of food, household supplies, medication, and medical supplies necessary for the appropriate care of individuals in residence. Other tasks and duties may be assigned as needed.

Responsibilities

  • Direct the activities of the Interdisciplinary Treatment Team (IDT) to ensure each individual has a tailored service plan.
  • Collaborate with the clinical/medical team to ensure all appointments and referrals are followed through as prescribed.
  • Work with Residence Managers to ensure appropriate referrals for recommended services not provided by the clinical team.
  • Supervise and ensure the safety and well-being of all consumers residing in the residence.
  • Develop off-site recreation, socialization, educational, and skill-building activities with a focus on community inclusion.
  • Plan and provide complete 24-hour coverage of the residence.
  • Collaborate with Human Resources on recruitment functions and assist with site visits and interviews.
  • Train, supervise, and evaluate all staff employed in the residence, including direct support professionals and clinical staff.
  • Mentor and coach employees to ensure effective performance.
  • Ensure the physical plant of the facility is clean, well-maintained, and free of hazardous conditions.
  • Maintain accounts for each individual's personal allowance and ensure adequate supplies for care.

Requirements

  • BSW or related degree with strong experience with similar populations required.
  • A minimum of 3-5 years of clinical/managerial experience with emotionally and developmentally disabled populations.
  • A minimum of 3-5 years management experience with emotionally disabled populations.
  • Must successfully complete Medication Administration Course within 90 days of employment.
  • Excellent management, communication, and organizational skills.
  • Demonstrated competency in written, verbal, and computational skills to present and document records in accordance with program standards.
  • Proficiency with basic computer usage and Microsoft Office Suite.
  • Experience working with the CRP population preferred.
  • Valid NYS Driver's License required.
  • Ability and willingness to obtain certification in SCIPR Competencies and advance to Promote Competencies.
