About the position

The Service Operations Coordinator at Bartingale Mechanical plays a crucial role in supporting the service team by managing preventive maintenance contracts, coordinating with internal teams, and ensuring high-quality service delivery. This position involves a blend of administrative tasks, client interaction, and operational support, all aimed at enhancing account growth and service efficiency.

Responsibilities

• Accurately input new preventive maintenance contracts and coordinate renewals.
• Order materials for contracts, seeking the best procurement options.
• Support the Service Account Manager in strategic planning and implementation of initiatives.
• Prepare and maintain accurate records and reports on account activity and service improvements.
• Verify completion of inspection work and prepare pull-through field quotes.
• Serve as the main point of contact for Service questions and support the Service team.
• Provide timely support in relaying information to field personnel for timekeeping.
• Act as backup to the Service Coordinator for customer information and scheduling.
• Support the Service department's initiatives and programs.

Requirements

• One year of professional experience in a complex office setting providing account management support or similar sales and service support.
• Strong organizational and multitasking skills to support multiple accounts and priorities.
• Excellent communication and interpersonal skills for effective engagement with clients and team members.
• Proficiency in using service or sales software, Microsoft Office Suite, and other relevant tools.
• Mechanical aptitude and knowledge of HVAC, plumbing, and related fields is a plus.

Nice-to-haves

• Experience in a service-oriented role within the mechanical or HVAC industry.
• Familiarity with project management tools and techniques.
