Join us and help us achieve our mission of Science for a Safer World! The Operations Coordinator supports the daily operations of the company's facilities in Middleton, WI. This individual serves as the primary point person responsible for a variety of administrative, clerical, and organizational tasks focused on the daily operations, facilities maintenance, and coordination of the services lab at the company's operational site(s). Also serving as the front-desk receptionist, this role helps to ensure a welcoming and professional visitor and employee experience. The Coordinator partners closely with multiple teams in the areas of Supply Chain Planning, Production, Facilities, Lab Services, HR, Warehousing/Logistics, and EH&S in order to effectively execute their responsibilities.

Responsibilities

  • Serve as primary receptionist for the site, greeting and engaging with all visitors in a professional, welcoming, and courteous manner.
  • Receive, sort, and route incoming and outgoing site communications, such as mail.
  • Under the direction of site leadership, coordinate the logistics of site-based events and large-group engagements, including room scheduling, agenda coordination, and resourcing of food and drink.
  • Under guidance from direct management, coordinate and maintain the lab consumable and chemical inventory systems.
  • Maintain, order, and organize kitchen and office supplies for site facilities.
  • Under the direction of HR and site leadership, assist in the organizing and carrying out of company social activities, including on- and off-site employee engagements, employee onboarding and offboarding, and other recognition activities.
  • Where required, ensure the successful filing of government censuses and annual reports.
  • Support identified process improvement initiatives and corrective actions.
  • Contribute to an effective, safe, and clean office and lab environment through various support activities.
  • Diligently learn and follow the requirements of the site's quality management system.
  • Adhere to company safety policies, including Personal Protection Equipment (PPE) policy.

Requirements

  • Prior work experience in the areas of front-desk reception, facilities administration, office management, or lab coordination within a biotechnology, manufacturing, or pharmaceutical organization.
  • Working knowledge of ERP systems, ideally IFS.
  • Proven reliable work ethic and ability to adapt to changes in work environment or standard workflows in order to meet business and customer needs.
  • Ability to manage time effectively and address changing priorities.
  • Highly approachable, leading with professionalism and customer satisfaction in all business interactions.
  • Must be highly accurate and detail-oriented.
  • Ability to gather and organize information.
  • Strong commitment to quality and continuous improvement.
  • Effective written and verbal communication skills with audiences at all levels of an organization.
  • Ability to work effectively, both individually and in a team environment.
