About the position

The Operations Coordinator at Mach Industries is responsible for managing and supporting the daily operations of the company, ensuring a smooth and efficient office environment. This role involves supporting HR and recruiting efforts, coordinating company events, and managing logistics for both internal and external stakeholders. The ideal candidate will be detail-oriented, organized, and capable of handling multiple responsibilities in a fast-paced setting.

Responsibilities

  • Oversee and manage day-to-day office operations, ensuring efficiency and organization.
  • Coordinate logistical needs.
  • Provide support to HR and Recruiting teams by assisting with onboarding new hires and staffing related activities.
  • Plan and coordinate social events, team building activities, holiday parties and culture events throughout the year.
  • Manage the local company lunch program.
  • Manage office supply inventory, keeping kitchens stocked and conference rooms organized.
  • Maintain and track office-related expenses, ensuring alignment with budget.
  • Negotiate with vendors to secure favorable pricing for supplies and services.
  • Ensure all office equipment is in proper working order; coordinate maintenance and repairs as necessary.
  • Greet and assist visitors, ensuring a professional and welcoming environment.
  • Proactively address and resolve operational issues that arise.
  • Maintain standards of strict confidentiality with respect to all employee matters.

Requirements

  • Proven experience in office management, operations, or administrative coordination.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks and priorities in a fast-paced environment.
  • Excellent communication and interpersonal skills.
  • Proficiency in office software, Microsoft Office or Google Suite.
  • Capable and willing to run company errands.
  • Ability to collaborate in a team environment and pitch in as needed.
  • Ability to work with employees and managers at all levels of the organization.
  • Customer service-oriented approach to all requests.
