About the position

The Operations Coordinator at Northbound plays a crucial role in enhancing the agency's operational excellence and administrative efficiency. This position involves managing various processes related to recruitment, performance reviews, training, and employee onboarding, while also supporting day-to-day operations and client management tasks. The coordinator will be integral in fostering a positive workplace culture and ensuring smooth administrative functions that contribute to the overall success of the agency.

Responsibilities

  • Coordinate and automate processes for recruiting, performance reviews, training, and PTO approvals.
  • Provide administrative support for weekly resource and hot start meetings.
  • Manage day-to-day recruitment and contractor engagement, including candidate screening and interview coordination.
  • Oversee the management of contracts with employees, freelancers, and partners.
  • Conduct annual cultural health surveys and manage updates to the employee handbook.
  • Act as the BambooHR administrator and seek automation opportunities for onboarding processes.
  • Manage project management software and team calendars, liaising with IT for technical needs.
  • Prepare materials for weekly all-hands meetings, including agendas and notes.
  • Open and manage job numbers and activities for new jobs, including filing systems and digital paperwork.
  • Assist with special projects, including organizing company gatherings and process improvements.

Requirements

  • 5+ years of experience in an agency or professional services environment.
  • Strong communication skills, both empathetic and direct.
  • Proficiency in Microsoft Office and familiarity with project management software, Box, and BambooHR.
  • Ability to manage multiple workstreams and maintain a high level of organization and detail.

Nice-to-haves

  • Experience with payroll administration and benefits coordination.
  • Knowledge of compliance and quality improvement processes.
