About the position

The Operations Coordinator will provide essential administrative support to the National Cancer Institute (NCI) within the National Institutes of Health (NIH). This role involves coordinating various operational tasks, maintaining documentation, and ensuring compliance with federal regulations while facilitating effective program workflow and communication among staff.

Responsibilities

  • Coordinate the preparation of travel requests, professional service orders, and various official documents.
  • Maintain SOPs and guidance documents associated with organizational programs and systems.
  • Provide administrative support and coordinate program workflow with staff.
  • Ensure necessary documentation is prepared for recruitment and appointment processes.
  • Coordinate meetings, workshops, and courses, including logistical arrangements and communication with participants.
  • Establish and maintain a fiscal year calendar and update shared databases.
  • Research information and maintain project status, following up on actions with office staff.
  • Prepare and route personnel packages for onboarding and terminations.
  • Process equipment and office supply order requests, serving as the point of contact for maintenance contracts.
  • Organize and administer the administrative components of the assigned servicing area.
  • Review documentation for compliance with policies and procedures, providing summaries for analysis.
  • Explain property policies and ensure compliance with federal property management regulations.
  • Set up and format spreadsheets for data analysis.
  • Prepare documents for new appointments and manage administrative systems related to recruitment and separations.
  • Maintain contacts database and update calendars for multiple staff members.
  • Track order requests using government systems and manage federal property from acquisition to disposal.
  • Prepare requisitions for office supplies and maintain office records.

Requirements

  • Bachelor's degree in Biology, Life Sciences, or a related discipline.
  • Minimum of six (6) years of related experience.
  • Skilled in MS Office, WebEx, Teams, Concur, and Zoom.
  • Knowledge of project management, meeting coordination, travel planning, and executive-level administrative support.
  • Familiarity with the Federal Travel Regulation.

Nice-to-haves

  • Experience in fellowship program management.
  • Knowledge of website content management.
