About the position

The Operations Coordinator at Philadelphia Academies, Inc. plays a crucial role in supporting the administrative, financial, and communication needs of the organization, particularly for the 9th Grade Success Network team. This position is designed to enhance operational efficiency and support various projects aimed at improving 9th Grade On-Track rates in the School District of Philadelphia. The ideal candidate will be detail-oriented, organized, and passionate about educational equity, contributing to the organization's mission of providing better post-secondary opportunities for young people.

Responsibilities

  • Provide event management and administrative support for the 9th Grade Success Network's Community of Practice meetings and other professional learning events.
  • Coordinate logistics for events including space scouting, contract oversight, food and beverage coordination, and event setup and teardown.
  • Assist with financial paperwork, budget tracking, and vendor payments.
  • Manage supply organization and inventory for the office and events.
  • Draft and oversee production of the 9th Grade Success Network quarterly e-newsletter.
  • Create and edit communication materials such as fliers, handouts, and slide decks.
  • Take notes at meetings and summarize key themes from discussions.
  • Coordinate out-of-state travel arrangements for team members.

Requirements

  • Bachelor's degree or Associate's degree preferred.
  • Experience working in an office or school setting.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Word, Google Suite, and Microsoft Excel.
  • Experience with financial report writing and budget tracking.
  • Strong written and interpersonal communication skills.
  • Basic graphic design skills, preferably with Canva.

Nice-to-haves

  • Experience with public high schools.
  • Background in communications or design.
  • Passion for racial equity and social justice.
