About the position

The Operations Coordinator is responsible for managing rental shop administrative activities, ensuring compliance with company policies and procedures. This role involves tracking rental assets, scheduling logistics, and coordinating paperwork for invoicing processes while providing excellent customer service in a fast-paced environment.

Responsibilities

  • Manage data and files to provide an accurate view of operational functions such as vehicles and fleet status.
  • Maintain and update expiring rental contract return dates as needed.
  • Oversee chargebacks to customers and asset register removals.
  • Maintain a fleet status report for management review calls and address discrepancies post-review.
  • Manage the GeoForce application for equipment tracking and status updates.
  • Source suppliers and collaborate with Accounts Payable for vendor setup processes.
  • Create requisitions and purchase orders, and process invoices for supplies.
  • Ensure proper documentation, tagging, and titling of trailers and vehicles in collaboration with Finance/Fleet Management.
  • Provide timely information and support to Operations and Service Managers.
  • Assist with JetHeat core returns and maintain MRA tracking of replacements.
  • Organize equipment logistics for transportation to job sites and manage compliance with business controls.
  • Perform administrative support for mail processing and travel arrangements for technicians.
  • Assist with warehouse operations including inventory management and documentation.
  • Act as the local HSE representative for safety compliance and training.
  • Cross-train and fill in for team members as needed.
  • Provide exceptional customer service and maintain knowledge of products and services.

Requirements

  • Experience in administrative support and operations coordination.
  • Proficiency in Microsoft Office applications (Word, Excel, etc.).
  • Knowledge of inventory software and order processing systems.
  • Ability to manage customs documentation for import/export processes.

Nice-to-haves

  • Experience with logistics and transportation planning.
  • Familiarity with safety compliance and training processes.
